Job Title: Bilingual (English/Spanish) Service Coordinator — Painting Contractor (Office-Based)
Location: Lake Worth Beach, FL — 100% in-office (this is not a remote or hybrid role)
Pay: $22.00–$24.00 per hour, paid as salary | Full-time, Monday–Friday

We are a painting and renovation contractor serving apartment communities across Palm Beach, Broward, and Miami-Dade counties. We turn vacant units for property management companies on tight deadlines. Every day, a dozen or more units are being painted at once, and someone has to own what is happening on those units in real time. That person is the Field Progress Coordinator.
What You'll Actually Do All Day
You are the person subcontractors call when something goes wrong on site, and the person the property manager hears from when something needs their attention. You keep jobs moving.
Real-time job monitoring
- Stay in constant contact with subcontractors and technicians throughout the day on jobs in progress — by phone and WhatsApp — confirming job details and catching problems before they turn into delays or callbacks
- Solve day-of field obstacles: no power in the unit, key or access problems, unit not ready, missing materials, wrong scope. You work it out directly with the sub, the property, and the customer
- Call property contacts in real time when an issue needs them to resolve it
- Track job progress through the day so scope and status are accurate and current when the job hands off to Closeout
Paint ordering and inventory
- Place paint orders one day ahead using the next day's dispatch schedule so paint is ready before the tech arrives
- Handle same-day reactive paint requests from subs
- Keep the paint inventory log accurate
Extras / change orders — this is the heart of the job
- Receive photos, scope, and pricing for extras from subs via WhatsApp as they come up on site
- Call the customer, walk them through the extra scope and price, and get verbal approval or rejection
- Send written confirmation of that approval or rejection by email or text the same day, so it is documented and cannot be disputed later
- Once approved, issue the PO Extra and log the sub, unit, approved price, approval method and date, and PO number into our tracking system in the same sitting
- Notify the sub of the new PO Extra
Overspray
- Document overspray on site with photos, notify the customer in writing the same day with those photos, and keep the Overspray Log current
General
- Same-day response to every call, text, and email on active jobs received before end of business
- Cross-train on Scheduling & Dispatch and Closeout & Resolution to provide backup coverage
- Help train new employees as needed
Read This First
This role is for someone who has already worked inside a construction, painting, turnkey, or property maintenance office. You will be coordinating live jobs in occupied and vacant apartment units from the moment the crew arrives until the unit is turned over. If you have not worked in a construction or trade office before, this is not the right role for you and you will not be selected.
Required — Do Not Apply Without These
- Fluent English and fluent Spanish, spoken and written. You will be on the phone with English-speaking property managers and Spanish-speaking subcontractors, often within the same five minutes. Conversational Spanish is not enough — you will be negotiating scope and pricing in Spanish. Fluency will be tested in the interview.
- Minimum 2 years in an office/administrative coordination role — scheduling, dispatching, work orders, job costing, purchase orders, or service coordination
- Direct experience in construction, painting, turnkey apartment renovation, property maintenance, restoration, or a related trade. You should already know what a scope of work, a change order, a purchase order, and a punch list are, and what a unit turn is
- Comfortable with change orders and pricing conversations. You will be calling a customer to ask them to approve additional money, several times a day, without being talked out of it or talking yourself out of it
- Strong computer skills — Excel/Google Sheets, email, WhatsApp, and job tracking software
- Ability to hold ten moving jobs in your head at once, in a loud, fast, interruption-heavy environment
- Reliable and on time every day. This role does not work if the seat is empty
Nice to Have
- Experience with property management companies or multifamily/apartment portfolios
- Familiarity with Sherwin-Williams, Behr, or similar commercial paint ordering
- Prior use of a job tracking or field service platform
