Office Coordinator

Position Overview
St. Paul United Church of Christ is seeking a welcoming, organized, and detail-oriented Office Coordinator to support the day-to-day operations of our church. This role serves as a key point of connection for church members, visitors, staff, and the broader community. The Office Coordinator will help ensure effective communication, administrative excellence, and smooth coordination of church activities, programs, and events.
The ideal candidate is service-oriented, technologically proficient, and enjoys working in a collaborative environment that supports the mission and ministry of the church.
Key Responsibilities
Administrative and Office Support
- Coordinate daily office operations and administrative functions.
- Create, edit, proofread, print, and distribute documents and communications.
- Manage incoming and outgoing correspondence, including email, mail, and package deliveries.
- Maintain church records, files, and historical documents.
- Develop and update office procedures and documentation.
- Maintain phone system greetings and voicemail boxes.
Member and Guest Engagement
- Serve as the primary point of contact for church members, visitors, and community guests during office hours.
- Provide friendly, professional assistance and direct inquiries appropriately.
- Foster positive relationships and create a welcoming office environment.
Communication and Information Management
- Assist in communicating church programs, worship services, ministries, events, and mission opportunities to the congregation and community.
- Support the production and distribution of Sunday bulletins, newsletters, announcements, and other communications.
- Collaborate with clergy, staff, volunteers, and ministry leaders to ensure timely and accurate communication.
- Maintain and update the church's Realm database, including:
- Member and visitor records
- Boards, teams, and ministry groups
- Sunday School classes
- Labels, reports, and searches
- Support event administration, including setup, registration, attendance tracking, reporting, and database updates.
Worship and Ministry Support
- Assist with creating and managing worship presentation content using ProPresenter software.
- Support worship and ministry staff with communication and scheduling needs.
- Unlock facility doors for approved meetings and events as needed.
Team Collaboration
- Attend weekly staff meetings and record meeting minutes.
- Work collaboratively with the Pastor, staff, volunteers, and church leaders.
- Perform other duties as assigned by the Pastor.
Position Details
- Position Type: Part-Time (25 hours per week)
- Location: On-site in Columbia, Illinois
- Reports To: Pastor
- Benefits: Paid vacation and sick leave
Preferred Qualifications
While not required, the following experience and skills are highly desirable:
- Customer service, administrative support, communications, marketing, or database management experience
- Proficiency in Microsoft 365 applications, including Word, Outlook, Teams, and PowerPoint
- Experience with church management software, particularly Realm
- Experience with ProPresenter or similar presentation software
- Familiarity with Canva or other graphic design tools
- Social media management experience
- Basic audio and video editing skills
