The Adult Family Home Council’s mission is to improve the lives and well-being of vulnerable adults through the support of Adult Family Homes. The Council is seeking a motivated and positive individual to join our team.
Position Description:
This position reports directly to the Executive Director and is responsible for supporting the ongoing function of the office, organizational operations, financial administration, and membership activities of the Adult Family Home Council.
Primary Responsibilities
Office Operations and Administration
- Oversee the ongoing day-to-day function of the office.
- Receive and process payments accurately and timely.
- Manage relationships with vendors, service providers, and the landlord, ensuring invoices are tracked and paid on time.
- Schedule meetings and appointments.
- Serve as the point person for maintenance, mailing, shipping, supplies, equipment, bills, banking, and errands.
- Coordinate with IT vendors to ensure office equipment and systems remain operational.
- Design and implement filing systems and ensure those systems are maintained and current.
- Establish and monitor procedures for recordkeeping.
- Ensure the security, integrity, and confidentiality of organizational data.
- Participate in the design, implementation, and maintenance of office policies and procedures.
- Develop budget, membership, and other reports as needed.
Finance and Organizational Support
- Manage all accounts receivable and accounts payable.
- Help oversee the financial health of the organization and support compliance with applicable financial practices and reporting requirements.
- Prepare financial statements and assist with budgeting activities.
- Support strategies related to the organization’s financial goals and long-term sustainability.
- Coordinate with CPA firms and other financial professionals as needed.
- Help ensure appropriate cash flow for organizational operations.
- Assist the Executive Director with financial decisions and long-term business planning.
Membership Tracking and Development
- Develop systems to ensure accurate membership tracking.
- Participate in ongoing outreach to new and potential members.
- Manage communications and outreach to Affiliate Business Partners.
- Assist in the coordination of member events, including regional chapter meetings and conferences.
- Prepare and collect feedback from members on relevant issues.
- Develop reports on current members, nonmembers, and Affiliate Business Partners.
Preferred Qualifications
- Bachelor’s degree in finance, business administration, operations, or a related field.
- Five to eight years of experience in finance, office management, operations, membership administration, or a related role; equivalent experience may substitute for a degree.
- Experience with adult family homes, long-term care, healthcare, nonprofits, or membership associations.
- Experience with WordPress websites and/or e-commerce.
- Experience with Salesforce or other customer relationship management software.

- Strong organizational and time-management skills, with the ability to prioritize tasks effectively.
- Excellent communication and interpersonal skills.
- Strong problem-solving and analytical abilities.
- Proficiency with Microsoft Office products and QuickBooks Online.

- Ability to work with individuals from diverse backgrounds.
- Exceptional customer service skills.
- Ability to maintain confidentiality and handle sensitive information with discretion.

Compensation and Benefits
Compensation for this full-time position ranges from $6,833 to $7,500 per month, depending on experience and qualifications. Benefits include medical, dental, vision, life insurance, paid time off, and a 401(k) with employer match after one year.leg.wa+1

This is a full-time, in-person position, Monday through Friday, 8:00 a.m. to 5:00 p.m., in Tumwater, Washington.facebook+1
