Brick & Vine is looking for a senior field operations leader to oversee maintenance and physical property operations across our Oklahoma City multifamily portfolio. This role covers four communities and leads through local Maintenance Tech Leads, with close partnership across leasing, resident operations, and senior leadership.
The right candidate combines strong technical knowledge with the organizational discipline to manage teams, vendors, and projects across multiple properties simultaneously. Expect significant computer time: work orders, invoice review, documentation, reporting, and system-based follow-up are core to this job.
Key Responsibilities
Field Operations Leadership
- Lead maintenance operations across all assigned communities through Maintenance Tech Leads and field team members
- Set and enforce expectations for execution, response times, work quality, and documentation
- Allocate staff across communities based on urgency, turn volume, and operational priorities
- Hire, coach, evaluate, and manage performance for field maintenance staff
- Serve as the final escalation point for all maintenance and vendor issues
- Serve as the final escalation point for project-related concerns, scope changes, and budget issues
Maintenance Operations
- Monitor open, aging, and emergency work orders across the portfolio
- Provide technical guidance on HVAC, plumbing, electrical, appliances, and building systems
- Review work quality, completion notes, photos, and recurring repair trends
- Review technician troubleshooting on all repair attempts before escalating to outside vendors, ensuring internal options are exhausted and reducing unnecessary vendor spend
- Identify training gaps and create coaching opportunities for field staff
- Build and manage on-call staffing plans, escalation procedures, and after-hours coverage
- Review emergency trends and staffing gaps; serve as the final escalation for critical issues
Turns / Make-Ready Process
- Own the full make-ready process from move-out inspection through final rent-ready approval
- Coordinate with Resident Operations on chargebacks, move-out documentation, and unit handoff requirements at move-in
- Track turn days, bottlenecks, and vendor delays; establish consistent standards across all communities
- Conduct quality control inspections before releasing units to leasing
Inspections & Property Condition
- Conduct regular property walks, exterior inspections, vacant unit checks, and mechanical area reviews
- Oversee lender and city inspection follow-up, life safety items, and corrective action plans
- Use photo inspection platforms to document property condition and track repair progress
Renovations, CAPEX Projects & Vendor Management
- Manage execution of approved renovations, CAPEX, and vendor projects
- Arrange bids, coordinate walkthroughs, track progress, and ensure on-time, on-budget delivery
- Monitor project budget variance, flag cost concerns early, and coordinate with the VP of Property Management on adjustments
- Identify scope changes, delays, and quality issues early and escalate as needed
- Source, onboard, and hold vendors accountable to scope, pricing, timing, and quality standards
- Maintain preferred vendor resources by trade; remove or replace underperforming vendors
Financial & Administrative Oversight
- Review and approve invoices for maintenance, turns, vendor repairs, and CAPEX work
- Confirm invoiced work matches scope, pricing, and completion documentation
- Monitor vendor spend, budget variance, and recurring cost drivers
- Maintain detailed notes, photos, and records across Entrata, Airtable, and related platforms
What We're Looking For
- 5+ years of multifamily maintenance leadership experience
- 2+ years of regional or multi-site maintenance leadership experience
- Strong knowledge of HVAC, plumbing, electrical, appliance repair, and turnover process.
- Experience leading maintenance teams, supervisors, or field staff across multiple properties
- Strong vendor management, scope review, and inspection skills
- Highly organized and detail-oriented, with the ability to manage multiple priorities independently
- Comfortable with heavy administrative work: computer-based tracking, invoice review, documentation, and reporting
- Tech-savvy and confident using multiple digital platforms daily
Systems & Technology
Daily use of digital platforms is required. Preferred experience includes:
- Entrata PMS
- Bill.com (formerly Divvy)
- Microsoft Outlook and Teams
- Airtable
- SiteCapture or similar photo inspection platforms
- Excel or similar tracking tools
Portfolio
This role supports Brick & Vine communities in the Louisville City metro. Daily travel between properties is required.

Schedule & Physical Requirements
Full-time, onsite salaried role, primarily Monday-Friday; nights and weekends may be required for emergencies, major projects, or staffing gaps. Reliable transportation required.
This role requires regular field presence including walking communities and buildings, climbing stairs, inspecting mechanical areas, and working in varying weather conditions. Extended computer work is also a core part of the role.
