Job Overview
The administrative position is responsible for assisting the Business Manager/HR Director and Office Manager. This position will assist the Business Manager/HR Director by preparing invoicing, manage the invoice email accounts, new hire set-up, new hire benefit enrollment, manage end of employment process, filing, and assisting with any of the Business Manager/HR Directors miscellaneous projects. This position will assist the Office Managers with collections per email and phone, and work with the admin team when we receive large volumes of incoming or outgoing mail.
Assisting the Business Manager/HR Director:
- Prepare invoices
- Manage the invoice email accounts by replying to emails when possible, forward complex issues to the appropriate employee, follow-up to make sure all emails receive a response in a timely manner, transmit invoices, and electronic filing of client correspondences.
- Manage the new hire process by discussing workspace assignment with management, notify Ntiva of new hire in a timely manner, and make sure the new hire workspace has been prepared, providing the new hire with all benefits information and policies, make sure all paperwork is received and processed by Federal deadlines, enroll new employees in benefits before benefits take effect.
- Maintain I-9 files
- Manage end of employment process by notifying Ntiva when an employee leaves, issuing a COBRA notice within ten business days of the end of employment event, receiving a resignation letter when applicable, working with the HR Director to send a termination letter when applicable.
- Create time off templates for employees and maintain time off records.
- Assist the Business Manager/HR Director with any business projects as needed.
Assisting the Office Manager:
- Collection correspondence via mail and phone for
- Scan and link tax bills within 24 hours of receipt when the admin team receives a large volume and needs help
- Scan and link all other incoming tax documents within 72 hours of receipt when the admin team receives a large volume and needs help
- Help process returns when needed to meet deadlines
- Help send outgoing appeals when volumes are heavy (typically the month of May)
- Backup the team on phones
- Assist the Office Manager with any business projects as needed.

Pay: $40,000.00 - $50,000.00 per year
