The Programs Administrator plays a crucial role in the efficient delivery of healthcare services at MCC. Responsible for managing the intake process for patients, this position is the first point of contact for individuals seeking medical care. The ideal candidate should possess excellent interpersonal skills, organizational abilities, and a solid understanding of healthcare practices. The Programs Coordinator will work in collaboration with various county agencies and clinicians to ensure smooth patient flow and enhance the overall patient experience.
Responsibilities:
1. Intake Process Management:
- Receive inquiries from patients and/or referral agencies, either in person, over the phone, or via electronic platforms, and provide them with accurate and timely information regarding medical services.
- Collect necessary demographic and insurance information from patients for record-keeping purposes and insurance verification.
- Ensure compliance with privacy and confidentiality regulations.
- Collaborate with medical staff to prioritize and accommodate urgent or specialized cases.

2. Communication and Customer Service:
- Establish and maintain positive, professional relationships with patients, while demonstrating empathy, patience, and exceptional customer service.
- Respond promptly and courteously to patient inquiries, concerns, or complaints, escalating complex issues to the relevant department or manager.
- Communicate with patients to provide reminders and instructions regarding appointments, including any pre-appointment requirements.
3. Administrative Tasks:
- Maintain accurate and up-to-date patient records, ensuring proper documentation and record-keeping procedures are followed.
- Assist in coordinating referrals to specialist providers, ensuring a seamless transition and timely communication.
- Collaborate with the billing department to ensure appropriate documentation for insurance claims.
4. Quality Improvement:
- Participate in regular training sessions and professional development opportunities to stay updated on healthcare processes, best practices, and software systems.
- Provide feedback on workflow improvements, patient experience enhancements, and regular reports on performance metrics.
- Work well in team settings and collaboration projects.
Requirements:
- Must speak Spanish
- High school diploma or equivalent; additional certification in healthcare administration or related field is a plus.
- Proven experience as an intake coordinator, appointment scheduler, or in a similar role within a healthcare setting.
- Knowledge of medical terminology, procedures, and insurance guidelines.
- Proficiency in using electronic medical records (EMR) systems, appointment scheduling software, and basic computer applications.
- Exceptional communication skills, both verbal and written.
- Strong organizational abilities and attention to detail.
- Ability to multitask, prioritize assignments, and work well under pressure.
- Demonstrated ability to provide compassionate and empathetic customer service.
- Familiarity with compliance and privacy regulations (HIPAA).
- Availability to work flexible hours, including evenings and weekends if required.
