Responsibilities
- Handle data entry tasks accurately using Microsoft Office applications and bookkeeping software such as QuickBooks
- Organize and maintain filing systems, both physical and digital, ensuring confidentiality of sensitive information
- Support office management activities, including calendar management and coordinating meetings or events
- Provide excellent customer service by responding promptly to inquiries in both languages and assisting clients effectively
- Perform clerical duties such as proofreading documents, preparing correspondence, and managing office supplies
- Checking accounting records for accuracy, tracking invoices and payments and maintaining a system for organizing company financial documents
- Recording transactions in the appropriate company account ledgers using spreadsheets or accounting software
- Reviewing account ledgers for accuracy and correcting errors, such as duplications or typos
- Preparing and filing basic financial documents, such as income statements, profit and loss (P&L) statements and totals by account
- Reconciling accounts by comparing bank information to records
Requirements
- Proven experience in office administration or clerical roles with strong organizational skills
- Bilingual proficiency in English and Spanish is essential for effective client communication
- Excellent computer literacy with proficiency in Microsoft Office Suite (Word, Excel, Outlook)
- Experience with QuickBooks or similar bookkeeping software
- Strong phone etiquette skills with experience managing multi-line phone systems and providing customer support
- Ability to handle confidential information discreetly and maintain professionalism at all times
- Demonstrated time management skills with the ability to prioritize tasks efficiently
- Previous experience in office management or personal assistant roles is a plus
