As an import-driven business, we are continuing to strengthen our logistics and compliance capabilities and are looking to add an Import Coordinator to our team. This individual will work closely with our logistics, sourcing, production, customs, and external service partners to support the timely movement and clearance of imported merchandise.
Position Summary:
As an Import Coordinator on our team, you will play an important role in supporting the day-to-day execution of Haddad's import operations. We are seeking a highly organized, detail-oriented professional to coordinate inbound apparel shipments from purchase order placement through final delivery, maintain accurate import documentation, communicate effectively with internal teams and external partners, and proactively address issues that may impact delivery or customs clearance. This role is well suited for someone who thrives in a fast-paced environment and enjoys working across multiple functions to keep shipments moving efficiently.
Key Responsibilities:
- Coordinate all aspects of inbound garment and apparel shipments from purchase order (PO) placement through final delivery, ensuring key milestones, bookings, documentation, and delivery requirements are completed on time.
- Work closely with freight forwarders, customs brokers, carriers, factories, and internal teams to support timely and accurate shipment execution.
- Collect, review, and maintain import documentation, including commercial invoices, packing lists, bills of lading, certificates of origin, arrival notices, and other required shipping documents.
- Provide customs brokers and service providers with complete and accurate documentation and shipment information needed to support customs entry and clearance.
- Track shipment status and proactively follow up on delays, holds, exams, documentation issues, delivery exceptions, and other operational concerns.
- Maintain accurate shipment data and updates in internal systems, ERP platforms, and tracking tools.
- Coordinate with Sourcing, Production, Logistics, Sales, Finance, and other cross-functional teams to provide shipment status updates, estimated delivery timelines, resolve discrepancies, and align on shipment priorities.
- Support the Customs Broker and trade compliance team with documentation, recordkeeping, classification data, country-of-origin information, and other import compliance needs.
- Review freight and brokerage documentation for accuracy and escalate discrepancies as appropriate.
- Assist with duty and freight tracking, shipment reporting, and reconciliation of import-related charges as needed.
- Maintain organized import records in accordance with company policies and applicable recordkeeping requirements.
- Support continuous improvement initiatives aimed at improving shipment visibility, data accuracy, operational efficiency, and service-provider performance.
Qualifications:
- 2-3 years of experience in import operations, international transportation, freight forwarding, customs brokerage, or a related supply chain role; apparel or garment industry experience is preferred.
- Associate's or bachelor's degree in Supply Chain, Business Administration, International Trade, or a related field preferred, or equivalent relevant experience.
- Working knowledge of international shipping, U.S. import processes, and standard import documentation.
- Experience coordinating ocean and/or air freight shipments; apparel, textiles, accessories, or consumer products experience is preferred.
- Strong attention to detail with the ability to manage multiple shipments, priorities, and deadlines simultaneously.
- Strong organizational, follow-up, problem-solving, and communication skills.
- Proficiency in Microsoft Office, particularly Excel and Outlook; experience with ERP, transportation, or logistics systems is preferred.
- Ability to work effectively with internal cross-functional teams and external service providers in a fast-paced environment.
Preferred Experience:
- Prior experience with a retail brand, apparel distributor, sourcing company, freight forwarder, or customs brokerage operation.
- Experience supporting high-volume imports from Asia, including China, Bangladesh, Vietnam, and other major sourcing countries.
- Familiarity with customs entry documentation, ISF (10+2), ACE, AMS, HTS classification, country-of-origin requirements, and import compliance concepts.
- Working knowledge of Incoterms (e.g., FOB, FCA, CIF) and experience with CargoWise or similar logistics/compliance systems is a plus.
