How you can contribute as a Bid Coordinator:
Millie and Severson is looking for a detail-driven Bid Coordinator with a background in construction administration who thrives in a fast-paced environment. This role is perfect for someone who is proactive, highly organized, and a natural relationship builder—someone who communicates confidently and professionally with subcontractors and vendors to keep projects moving forward.

Key Responsibilities
- Issue and coordinate bid invitations to subcontractors
- Follow up for bid responses and status – making phone calls to subcontractors
- Solicit new subcontractors by making direct contact by phone and email
- Coordinate RFIs
- Direct subcontractors to online prequalification/process
- Assist with preparation of bid packages, such as preparing drawing and qualification log
- Maintain and update prequalification documents, contractor licenses, and certifications
- Communicate with subcontractors and vendors to obtain pricing, quotes, and scope coverage
- Collaborate with estimating, business development, project management, and operations teams to gather required information
- Administration of bid software *BidMail
- Track bid deadlines and maintain a bid calendar to ensure timely submissions
- Support post-bid activities, including clarification requests and documentation updates
- Maintain records of submitted bids, results, and feedback for future reference
- Additional duties may be assigned
Required Qualifications
- 2+ years of experience in a construction administration role (bidding, estimating support, or project coordination)
- Bachelor's degree in Business, Communication, or equivalent experience
- Understanding of construction documents, terminology, and bid processes
- Proficiency in Microsoft Office (Word, Excel, Outlook); experience with bid management software (BidMail) is a plus
- Excellent organizational skills and attention to detail
- Ability to manage multiple deadlines in a fast-paced environment
- Strong written and verbal communication skills
