Staff Accountant – Full-Time

A rapidly growing maintenance, remodeling, plumbing and HVAC company located in West Chester, PA is seeking an experienced, confident and highly motivated Staff Accountant to join our accounting and financial management team.
The successful candidate will have a strong foundation in GAAP, general ledger accounting, financial reporting, cost accounting and financial analysis, combined with excellent technology skills, leadership ability and a drive to continually improve processes.
We are looking for someone who takes ownership, works with a high degree of accuracy and efficiency, independently tracks down answers, identifies problems before they become larger issues, and is comfortable supervising and holding others accountable.
This position will work closely with ownership and senior management and will oversee approximately 2–4 accounting and administrative employees.
Primary ResponsibilitiesAccounting & Financial Reporting
- Oversee daily accounting operations and maintain accurate financial records in accordance with GAAP
- Manage and maintain the general ledger and chart of accounts
- Prepare monthly, quarterly and annual financial statements
- Manage month-end, quarter-end, and year-end closing processes
- Prepare and review journal entries, accruals and account reconciliations
- Reconcile bank accounts, credit cards and balance sheet accounts
- Maintain fixed assets, balance sheet, and depreciation schedules
- Monitor cash flow and working capital
- Maintain accurate, organized and audit-ready accounting records
- Coordinate with outside CPAs, tax professionals, banks, insurance professionals and other financial partners
- Identify discrepancies and independently investigate them through resolution
- Develop accurate and useful financial reporting for ownership and senior management
Cost & Construction Accounting
A strong understanding of job costing and project profitability is particularly important in our industry.
Responsibilities include:
- Maintain accurate job costing and cost accounting
- Track labor, materials, subcontractors, equipment and other direct costs by project
- Monitor estimated versus actual job costs
- Analyze gross profit and margins by project and service division
- Maintain and review Work-in-Progress (WIP) reporting
- Monitor project budgets, committed costs and change orders
- Review job profitability and investigate unusual variances
- Ensure expenses are properly allocated to jobs, departments and GL accounts
- Manage and monitor project draw schedules and progress billing
- Assist with appropriate revenue recognition
- Review subcontractor and supplier costs
- Perform contract abstraction and financial review
- Work directly with project managers and operations personnel to resolve job-cost discrepancies
- Develop reporting that provides management with clear visibility into project and divisional profitability
Accounts Payable, Accounts Receivable & Cash Management
- Oversee Accounts Payable and Accounts Receivable functions
- Review invoice coding and job-cost allocations
- Monitor vendor accounts and payment processes
- Oversee customer invoicing and collections
- Monitor AR aging and actively address outstanding receivables
- Monitor company cash position and working capital
- Assist with short- and long-term cash-flow forecasting
- Review payroll accounting and labor allocations
- Maintain appropriate approval procedures and financial controls
- Identify opportunities to improve billing, collection and payment processes
Accounting Department Management
This position requires someone who is comfortable leading people, setting expectations and holding others accountable.
Responsibilities include:
- Supervise approximately 2–4 accounting and administrative employees
- Establish responsibilities, priorities and deadlines
- Monitor employee productivity, performance and accuracy
- Review work and identify errors, inconsistencies or incomplete information
- Train and develop accounting personnel
- Establish and enforce accounting procedures and internal controls
- Identify workflow problems and implement practical solutions
- Hold employees and other departments accountable for providing required financial information and documentation
- Develop processes that improve departmental productivity and accuracy
- Maintain a professional, positive and highly accountable work environment
Budgeting, Forecasting & Financial Analysis
- Assist with preparation of annual budgets and periodic forecasts
- Prepare budget-to-actual reporting and variance analysis
- Monitor revenue, gross margins, overhead and operating expenses
- Develop and monitor financial KPIs
- Analyze departmental and divisional performance
- Assist ownership and senior management with financial projections and strategic business planning
- Identify financial trends, discrepancies and opportunities to improve profitability
- Provide management with clear, timely and actionable financial information
Process Development, Technology & AI
We are looking for someone who understands that a modern accounting department should continually become faster, more accurate and more efficient.
The successful candidate will be expected to:
- Evaluate existing accounting and administrative processes
- Identify inefficient, repetitive or unnecessary workflows
- Streamline and improve existing procedures
- Develop new accounting processes where needed
- Improve the flow of financial information from field operations through accounting and ultimately into management reporting
- Utilize Excel, Google Sheets, QuickBooks and other accounting and business software effectively
- Utilize AI and automation to reduce repetitive administrative and accounting work
- Identify opportunities to improve the utilization of our existing software and technology
- Develop practical methods of bridging disconnected systems and processes using software, automation and AI
- Continually look for opportunities to improve accuracy, speed, reporting and departmental productivity

Qualifications Required
- Bachelor's Degree (or educational equiv) in Accounting, Finance or related field
- Strong understanding of GAAP
- Strong general ledger accounting knowledge
- Financial statement preparation and analysis experience
- Strong reconciliation and month-end closing experience
- Experience with Accounts Payable and Accounts Receivable
- Strong Microsoft Excel and spreadsheet skills
- Strong analytical and problem-solving abilities

- Ability to independently research and resolve accounting discrepancies

Compensation
Salary Range: $62,400–$88,800 annually
Compensation will be commensurate with experience, capabilities and demonstrated skill sets, including:
- Years and depth of experience in similar accounting positions
- Speed and accuracy of work completion

- Strong understanding of GAAP and general ledger accounting
