Position Summary
The position is responsible for providing administrative support to the Planning Department manager and staff. This position is the primary point of contact for internal and external customers requesting information or services from the Planning Department. Responsibilities include responding to the general public and other functions that are a part of the daily operations. Duties include oral and written communications as a liaison between County Staff, internal and external customers; creation, maintenance and quality control of files and records; clerical and bookkeeping functions; and other duties necessary to support the department as assigned.
Work is performed in an office environment and may require bending, stooping, walking, stretching, and lifting objects weighing up to 25 pounds.
Sufficient experience to understand the basic principles relevant to the major duties of the position, usually associated with the completion of an apprenticeship, internship, or having a similar position for one to two years. Experience in municipality type work is a plus.
Principal Accountabilities

Coordinates and administers office and clerical activities for the department including, but not limited to, typing and processing department correspondence, creating and maintaining project files and databases, distributing inter-office mail and ordering office supplies.

Provides internal and external customer service by receiving phone calls and taking messages, to include determining if the department is responsible for a service request or complaint, and if so, assisting in resolution of same, otherwise, will refer callers to the appropriate office.

Provides information and technical assistance concerning planning activities and related issues; responds to questions, concerns, or complaints; investigates problems/complaints and initiates problem resolution through work orders.

Performs other related duties as assigned
Knowledge, Skills and Abilities

Knowledge of various computer applications such as word processing, spreadsheets, presentation software, and accounting software

Knowledge of clerical and bookkeeping techniques including software to support same.

Skill in dealing courteously and effectively with the public, vendors and employees of other departments and agencies.

Skill in organizing and scheduling work.

Skill in oral and written communications.

Skill in operating a computer, copier, and various other office equipment.
Desirable Training and Experience
High school diploma or GED; preferably supplemented by college-vocational/technical school, or Information Technology training. Must possess or have the ability to obtain Georgia Driver’s License. Ability to read, write and perform mathematical calculations at a level commonly associated with the completion of high school or equivalent. Sufficient experience to understand the basic principles relevant to the major duties of the position, usually associated with the completion of an apprenticeship, internship, or having a similar position for one to two years. Sufficient experience to understand and resolve simple and complex problems usually associated with the work carried out by the department’s personnel. Experience in municipality type work is a plus.
A combination of education and/or work experience may be substituted for minimum requirements.
