Hadwen Park Church is seeking a part-time Administrative Assistant (16 hours/week, MTThF or T-F (days to be discussed), 9–1 PM) to support the daily operations and ministry of our congregation. This role serves as a central point of communication and coordination, welcoming visitors, managing calls and correspondence, maintaining records and calendars, preparing weekly bulletins and church communications, and supporting pastors, staff, and council members with administrative and special projects. The ideal candidate is a person of Christian faith with strong organizational skills, attention to detail, discretion with confidential information, and proficiency in Microsoft Office, Google applications, and database systems (REALM experience preferred). This position requires warmth, professionalism, and the ability to work independently while fostering a supportive, team-oriented environment. Compensation is $20/hour . - Generally, provide the administration necessary for the ministry of Hadwen Park Church as assigned by the pastors, staff and council members.
- Ensure confidentiality of all sensitive information.
- Maintain regular and consistent office hours, presenting a welcoming and helpful presence to all who call, email, or visitor.
- Provide administrative and special-project assistance to the pastors, staff and council members.
- Take notes and keep records of all staff meetings and file in REALM.
- Receive, screen and route incoming calls and emails. Act and/or messages as appropriate.
- Sort and route incoming mail.
- Ensure that oral communications (both in person and via phone) are relayed to the appropriate pastor, staff and council member. Follow up as appropriate.
- Produce the weekly worship bulletin and other publications as needed.
- Ensure that the master church calendar for all church activities is correctly updated and maintained. To do that, contact staff and council members in advance for dates of meetings and events
- Ensure that requested announcements and information are communicated to church membership, committee members, and volunteers, as appropriate.
- Prepare and mail church mailings and/or distribute church emails and e-news as needed.
- Develop and maintain a correct and updated database of all members, visitors and friends including knowledge, education and management of the use of REALM.
- Keep accurate records of membership, pastoral acts (baptism, funerals, etc.), financial reports, monthly minutes of all committees, and the church CORI/SORI list for employees and those safeguarding youth. Regularly contact the council and staff for correct information.
- Prepare visitor letters via the yellow cards that are collected each Sunday, enter new information immediately into REALM, then, invite visitors to join REALM.
- Purchase and maintain office supplies and coordinate the maintenance of office equipment. Purchase all certificates for worship: membership, baptism, marriage and confirmation in advance of occasion.
- Purchase facility supplies as needed. Receive orders from Katie our custodial service and property committee. Coordinate weekly with coffee hour hosts regarding ordering from Culpeppers and providing milk and cream each Sunday.

- Demonstrable computer skills, including Microsoft Office suite and Google applications, along with expertise in management REALM.
- Must pass comprehensive background and CORI check.
- Ability to grow with the position, eagerly learning new skills and gaining new responsibilities.
