Senior Health Information Management (HIM) Specialist
Location: Hilton Head Island, SC

Pay Rate: $18.00–$19.70 per hour, based on experience
Schedule: 8:00 AM–5:00 PM | Five days per week, including every weekend
Weekday Schedule: Two weekdays off each week; employees may select their preferred days off
Position Overview
Wheeler Staffing Partners is seeking a detail-oriented Senior Health Information Management (HIM) Specialist for a contract opportunity in Hilton Head Island, SC. This position is 100% onsite within a hospital environment and is responsible for supporting the accuracy, completeness, integrity, accessibility, and confidentiality of patient health information.
The Senior HIM Specialist performs a variety of health information management functions, including medical record scanning and indexing, chart analysis, documentation deficiency management, data integrity, vital statistics, record retrieval, and continuity-of-care requests.
The ideal candidate has experience working with medical records or Health Information Management processes, understands HIPAA and patient privacy requirements, and is comfortable working independently in a fast-paced healthcare environment.
Key Responsibilities
Medical Records & Document Imaging
- Prepare, scan, upload, review, validate, and index medical records into the electronic medical record (EMR) or document management system.
- Review scanned documentation for accuracy, completeness, image quality, and correct patient identification.
- Upload medical records into applications such as VitalChart ChartFlow, formerly EvriChart, to support coding and record accessibility.
- Retrieve, organize, maintain, and file patient health records as needed.
- Meet established productivity and quality standards for document imaging and medical record processing.
- Accurately maintain required productivity metrics and time-tracking documentation.
Chart Analysis & Deficiency Management
- Analyze patient medical records to identify missing, incomplete, or deficient documentation.
- Assign and reassign documentation deficiencies to appropriate providers according to regulatory requirements and facility policies.
- Follow up on outstanding documentation to support timely record completion.
- Assist with missing-documentation initiatives and provider queries.
- Perform chart pickup, rounding, reconciliation, and related HIM activities.
Data Integrity & Record Correction
- Identify and correct medical record errors, including duplicate medical records and documents filed within incorrect patient charts.
- Perform data-integrity activities to maintain accurate and reliable patient information.
- Review records carefully to identify discrepancies and initiate appropriate corrections.
- Maintain confidentiality and security throughout all medical record activities.
Vital Statistics
- Complete birth and death certificate documentation in accordance with applicable state requirements and facility timelines.
- Contact parents or appropriate parties to obtain information required for birth certificates.
- Assist with paternity acknowledgments and related vital statistics documentation.
- Ensure vital statistics information is complete, accurate, and processed within required timelines.
Release of Information & Customer Service
- Process medical record and continuity-of-care requests accurately and efficiently.
- Assist internal departments and authorized external agencies with requests for patient information.
- Prioritize requests appropriately while maintaining HIPAA compliance and patient confidentiality.
- Answer incoming calls and provide professional assistance related to medical record requests.
- Build positive working relationships with providers, hospital departments, patients, and other stakeholders.
Required Qualifications
- Previous experience supporting Health Information Management, medical records, health information, or related healthcare operations.
- Experience with medical record documentation and electronic health record processes.
- Experience preparing, scanning, reviewing, validating, uploading, and indexing medical records.
- Experience reviewing patient charts for missing or incomplete documentation.
- Knowledge of documentation deficiency management and provider follow-up processes.
- Understanding of HIPAA, patient privacy, confidentiality, and information security requirements.
- Proficiency with electronic medical records, document management systems, and general computer applications.
- Proficiency with Microsoft Office applications and keyboarding.
- Strong attention to detail with a commitment to accuracy and quality.
- Excellent organizational and time-management skills with the ability to manage multiple priorities.
- Ability to work independently and meet established productivity expectations.
- Strong written and verbal communication skills.
- Customer-focused approach with the ability to establish and maintain professional relationships.

Preferred Qualifications
- Experience working in a hospital Health Information Management department.
- Experience with VitalChart ChartFlow, EvriChart, or similar medical record/document management systems.
- Experience with birth certificates, death certificates, vital statistics, and paternity acknowledgments.
- Experience with medical record data integrity, duplicate record correction, chart reconciliation, and continuity-of-care requests.
