Overview
The Salt Marsh Wellness Sanctuary at Silver Sands is a private, nature-immersed retreat set at the edge of the tidal wetlands. Designed for intentional rest and restoration, the Sanctuary offers private hydrotherapy, therapeutic treatments, and guided movement in an intimate setting reserved for one party at a time.
We are looking for a Wellness Sanctuary Coordinator who combines a warm, calm presence with exceptional conscientiousness, organization, and attention to detail.
This person is the day-to-day operational owner of the Sanctuary. The role requires someone who takes genuine pride in doing things thoroughly and consistently, follows through without needing repeated reminders, notices details before they become problems, and can be trusted to maintain a high standard every day.
The guest experience should feel effortless. Behind that experience is thoughtful, precise work.
Key Responsibilities
Guest Communication & Reservations
- Manage guest communication from initial inquiry through post-visit follow-up
- Write warm, polished, accurate guest emails using established communication standards
- Manage reservations and scheduling through Booker
- Coordinate hydrotherapy, massages, facials, and movement sessions
- Confirm practitioner availability and coordinate schedules
- Work closely with Guest Services on intake forms, arrival details, special requests, and day-of changes
- Guide guests toward experiences best suited to what they are looking for
Guest Experience
- Personally welcome guests and guide them through the Sanctuary
- Provide a clear, warm orientation to the hydrotherapy experience
- Prepare guest-specific details such as slippers, amenities, and treatment requirements in advance
- Maintain the calm, private, unhurried atmosphere of the space
- Anticipate guest needs and respond thoughtfully to questions or requests
- Support VIP visits, private groups, press stays, and special wellness experiences
Sanctuary Operations
- Open and prepare the Sanctuary before scheduled experiences
- Ensure lighting, music, temperature, scent, and overall atmosphere are set correctly
- Prepare tea, infused water, snacks, towels, robes, slippers, and guest materials
- Stage the relaxation room and treatment room according to established standards
- Coordinate treatment-room preparation with practitioners
- Conduct a complete readiness check before every guest arrival
- Coordinate full resets between reservations with Housekeeping
- Ensure the Sanctuary is returned to a pristine, guest-ready condition after every use
Every guest should experience the Sanctuary as though they are the first guest of the day.
Quality Control & Organization
- Follow established SOPs and operational checklists consistently
- Maintain daily schedules, logs, and required documentation
- Check work carefully and make sure details are complete before a task is considered finished
- Monitor recurring responsibilities and follow through independently
- Identify operational issues early and take appropriate action
- Communicate maintenance or safety concerns promptly
- Maintain organized storage and ensure supplies are easy to locate and properly replenished
Inventory & Product Management
- Monitor inventory of towels, robes, slippers, teas, amenities, treatment products, retail testers, and other Sanctuary supplies
- Maintain appropriate par levels and flag replenishment needs proactively
- Keep product displays and guest-facing amenities beautifully presented
- Coordinate snack and beverage needs with F&B
- Maintain appropriate product and treatment-room security
Practitioner & Team Coordination
- Coordinate practitioner schedules and arrival times
- Communicate schedule changes clearly across departments
- Work closely with Guest Services, Housekeeping, Engineering, F&B, and wellness practitioners
- Maintain clear and accurate handoffs between team members
- Share guest feedback and recurring operational needs with management
- Help train new team members using established Sanctuary SOPs and standards

Physical & Scheduling Requirements
- Comfortable performing hands-on setup and reset work throughout the day
- Able to move supplies, towels, yoga equipment, and light furniture as needed
- Weekend and holiday availability required as part of the regular schedule
Schedule & Compensation
- $24.00 - $25.00 per hour
- Schedule based on Sanctuary reservations and programming
