Job Overview
The Wage Services Coordinator is responsible for managing inbound participant intakes and supporting documentation compliance processes for individuals with disabilities seeking employment opportunities throughout North Texas. This role serves as a critical administrative and compliance resource, ensuring accurate collection, verification, maintenance, and processing of participant records while supporting payroll and onboarding requirements.
This position requires a highly organized, analytical, and detail-oriented professional who can manage multiple priorities simultaneously while maintaining strict confidentiality of protected health information, personally identifiable information, and payroll-related data.
Major Responsibilities
- Manage and coordinate inbound participant intakes for employment services programs.
- Review intake packets for completeness, accuracy, and compliance with organizational and funding-source requirements.
- Maintain participant records and electronic files in accordance with established documentation standards.
- Coordinate with program staff, case managers, families, guardians, and referral sources to obtain required documents.
- Track intake status and ensure timely completion of all onboarding requirements.
Compliance & Documentation Processing
- Ensure participant files comply with internal policies, state regulations, and applicable funding requirements.
- Conduct routine audits of participant documentation to identify missing or expired records.
- Monitor ongoing compliance requirements and maintain accurate records.
- Prepare reports and documentation summaries for management review.
- Support quality assurance initiatives and continuous process improvement efforts.
Payroll & Human Resources Support
- Assist with collection and verification of onboarding documentation for newly hired employees and supported workers.
- Support payroll data entry and verification processes to ensure accuracy and timely processing.
- Maintain employee and participant records related to employment and payroll compliance.
- Assist with I-9 documentation, tax forms, and other onboarding requirements as needed.
- Coordinate with Finance and Human Resources teams to resolve documentation discrepancies.
Administrative Support
- Enter, maintain, and reconcile data across various databases and tracking systems.
- Generate reports, spreadsheets, and compliance tracking tools.
- Respond to inquiries from internal and external stakeholders in a professional manner.
- Assist with special projects and administrative initiatives as assigned.
- Maintain organized filing systems and records retention practices.
- Minimum of two (2) years of administrative, compliance, human resources, payroll, financial services or program support experience.
- Experience working with confidential records and sensitive information.
- Proficiency with Microsoft Office Suite, particularly Excel, Outlook, Word, spreadsheet, data and Teams.
Pay: $21.00 - $23.00 per hour
