We are seeking a dependable and professional Part-Time Receptionist to support the daily operations of our law office from the hours of 10am to 2pm Monday through Friday. This position is responsible for maintaining a welcoming reception area, greeting clients and visitors, handling incoming mail and documents, assisting with conference room scheduling and upkeep, and providing general administrative support to the firm.
The ideal candidate is organized, punctual, detail-oriented, comfortable using office technology, and able to maintain strict confidentiality regarding firm and client matters.
Responsibilities
Greet clients and visitors and escort them to conference rooms as needed.
Maintain a clean, organized, and professional reception area and conference rooms.·
Accept, sort, open, date-stamp, identify, and distribute mail from USPS, UPS, Federal Express, and other delivery carriers.
Scan incoming mail and documents.
Generate and distribute the daily and weekly reports.
Maintain an accurate schedule of conference room events.
Clean and disinfect conference rooms as needed.
Order food for attorney lunches as requested.
Assist legal assistants, paralegals, and other staff during downtime.
File documents and return files from refiling carts.
Maintain library materials as directed
Qualifications·
High school diploma or equivalent required.· Minimum of two years of professional office experience preferred.· Proficiency with Microsoft Office, especially Outlook and Word.· Experience using copiers, fax machines, scanners, and other office technology.· Ability to maintain strict confidentiality of firm and client matters.· Willingness to learn the firm’s document management system, calendaring system, and legal terminology.· Strong interpersonal, organizational, problem-solving, and communication skills.· High attention to detail with the ability to prioritize and manage multiple tasks.· Dependable, punctual, and able to work calmly and effectively in urgent or sensitive situations.· Ability to work well as part of a flexible team.· Valid New York State driver’s license and dependable transportation required.
