Executive Assistant to Owner

Schedule: Monday – Friday, 8:30 AM – 5:30 PM
Salary: $55,000 – $60,000 annually

We are seeking an exceptional Executive Assistant to support the Owner. This is not a typical administrative role. The ideal candidate is highly organized, exceptionally detail-oriented, proactive, and capable of managing multiple high-priority responsibilities simultaneously.
Position Overview
This role serves as the right hand to the Owner, managing an extremely demanding schedule and handling critical business communications. Success in this position requires someone who thrives in a fast-paced environment, understands how to prioritize effectively, and recognizes that even small details can have significant business consequences.
The ideal candidate is a professional who takes pride in precision, follows through without constant supervision, and can anticipate needs before they arise.
Key Responsibilities
- Manage and maintain executive calendar and schedules
- Coordinate appointments, meetings, and events
- Schedule and coordinate domestic and international travel
- Draft professional correspondence and emails
- Transcribe dictated notes and communications accurately and efficiently
- Prioritize competing demands and ensure critical deadlines are met
- Maintain confidential business information
- Track and follow up on numerous ongoing action items
- Coordinate with internal teams, clients, and external partners
- Create and maintain reports, presentations, and spreadsheets
- Ensure no details are overlooked in day-to-day operations
Required Qualifications
- Minimum 3+ years of Executive Assistant or high-level administrative experience
- Exceptional written and verbal communication skills
- Advanced typing proficiency and transcription abilities
- Expert-level organizational and multitasking skills
- Strong proficiency in Microsoft Excel, PowerPoint, Outlook, and Word
- Ability to work independently and with a team
- Outstanding attention to detail and follow-through
- Ability to remain composed and effective in a demanding environment
Preferred Qualifications
- Shorthand proficiency (Major Plus)
- Experience supporting business owners, CEOs, or senior executives
