Job Summary
We are seeking a dynamic and detail-oriented Orthodontic Front Desk Associate to join our vibrant Orthodontic team. In this vital role, you will be the first point of contact for patients, providing exceptional customer service while managing front office operations with efficiency and professionalism. Your energetic approach will help create a welcoming environment, ensuring smooth clinic flow, accurate documentation, and seamless communication between patients and clinical staff. This paid position offers an exciting opportunity to contribute to patient care excellence while honing your administrative and healthcare skills. Our team works in the Red Mill area of Virginia Beach Monday through Thursday and in Portsmouth on Fridays.
Responsibilities
- Greet patients warmly, verify their appointment details, and check in/out efficiently using electronic health record (EHR) systems Edge.
- Schedule appointments accurately, coordinate with clinical staff, and manage patient flow to optimize clinic productivity.
- Collect payments, verify/determine insurance eligibility. Use systems like Dental exchange or direct payor websites or other health information management platforms.
- Maintain and update patient records in compliance with HIPAA regulations and clinic confidentiality policies.
- Answer multi-line phone systems professionally, provide information about services, and direct calls appropriately with excellent phone etiquette.
- Review documentation for accuracy, ensure proper coding for procedures, and assist with clinical documentation review as needed.
- Manage administrative tasks such as filing medical records, handling correspondence, and supporting clinic operations with Microsoft Office tools.
Requirements
- Proven experience in a front desk role, preferably within a dental or orthodontic clinic environment.
- Strong knowledge of EMR/EHR systems including Epic, Meditech, Athenahealth, or similar platforms.
- Familiarity with medical billing procedures, CPT coding, ICD-9/10 coding, Medicare processes, and health insurance policies.
- Excellent customer service skills combined with professional phone communication abilities.
- Ability to multitask efficiently in a fast-paced setting while maintaining attention to detail.
- Bilingual skills are highly preferred to serve diverse patient populations effectively.
- Demonstrated clerical experience including filing, typing (10 key), data entry, and medical records management.
- Knowledge of clinical confidentiality policies and healthcare terminology is essential.
- Strong computer skills with proficiency in Microsoft Office Suite and electronic health records management tools.
