Position Summary
The Patient Intake Coordinator plays a vital role in the daily operations of our practice. In this entry-level healthcare role, you'll be managing the intake process, maintaining accurate medical records, handling insurance authorizations, and ensuring seamless communication between our clinical team and clients.
This is a perfect entry-level opportunity for someone passionate about healthcare and eager to launch a career in administration—especially those with bilingual (English/Spanish) capabilities.
As our practice serves a high volume of Spanish-speaking families, your ability to communicate warmly and professionally in both languages is essential to our success.
Key Responsibilities
- Manage daily office operations and maintain organized workflows in a healthcare environment
- Handle phone calls and client inquiries with professionalism and medical terminology awareness
- Support insurance authorization workflows by gathering accurate clinical and medical information for submission
- Perform accurate medical data entry and maintain HIPAA-compliant, up-to-date client records
- Support clinical and administrative tasks such as scheduling, coordination, and document management
- Use Google Suite (Docs, Sheets, Drive, Calendar) for communication and medical record-keeping
- Process patient intake forms and maintain organized patient files
Required Qualifications
- High school diploma or Associates Degree
- Bilingual capability: English AND Spanish (Required) – Must be fluent in both written and spoken Spanish
- Comfortable working in a healthcare environment with sensitivity to families with children with autism
- Strong customer service skills and ability to interact professionally with diverse populations
- Excellent phone etiquette and communication skills
- Ability to handle sensitive medical information with professionalism and confidentiality (HIPAA awareness)
- Reliable, detail-oriented, and organized with strong time management skills
- Adaptable and eager to learn in a fast-paced, mission-driven healthcare setting
Preferred Qualifications
- Experience with EHR (Electronic Health Record) systems or medical practice management software
- Medical terminology - Familiarity with common medical/behavioral health terms
- Patient intake process - Experience completing intake forms and patient histories
- Prior authorization experience - Understanding pre-auth requirements
- Previous experience in pediatric healthcare settings
