JOB DESCRIPTION:
Medical Assistant Duties
-Assist Physician with advanced wound care treatments, wound care prep, dressing changes, measurements, procedural setups, scribing.
-Prepare and maintain sterile fields, instruments, supplies, and treatment rooms
-Assist with inventory tracking, labeling, and documentation.
-Perform patient intake including registration, vitals, photos, medication reconciliation, medical history updates, chart preparation.
-Assist with preoperative and post operative -patient care for plastic surgery and wound care patients.
-Ensure all patient chart, wound photos and clinical documentation is complete and updated in EMR
-Coordinate wound care supplies, VAC documentation, home health communication, and treatment orders
-Maintain compliance with HIPAA, OSHA, infection control, sterilization, and clinical safety protocols
-Support surgery scheduling, patient coordination, follow up calls, and prior authorizations as needed
-Assist in maintaining clean, organized, patient ready exam and procedure rooms at all times
- Communicate professionally with SNFs, home health agencies, hospitals, pharmacies, and patients
Administrative Duties:
-Greeting patients, business vendors, Pharmaceutical reps and coordinating with them appropriately and professionally
-Perform daily financial closing procedures including payment reconciliation, financing documentation review, deposit balancing, receipt tracking, and end of day reporting
-Audit daily schedules for accuracy including appointments, surgeries, follow ups, consults, staffing coverage, room utilization, and scheduling conflicts
-Review charts and schedules to verify required documentation, consents, insurance information, photos, and packets are completed before procedures or appointments
-Ensure all completed cases, reports, and supporting documentation are scanned, uploaded, filed, and organized properly by end of day
-Coordinate communication between providers, front office, surgery center staff, billers, vendors, and patients to ensure smooth workflow and follow through
-Monitor administrative workflow issues and escalate operational concerns proactively
-Assist with reporting, spreadsheets, operational projects, and practice organization initiatives
-Support office opening and closing procedures including operational readiness checks and administrative task completion
-Help maintain a polished, organized, patient ready office environment throughout the day
- Office duties such as scheduling appointments, answering phones, emails, and faxes. Scanning and uploading of documents. Sorting and sending mail. Filing, and creating patient charts; etc.
- Collect patient information and payment over the phone and in office for services and products provided
- Provide patient education and pricing on products sold in office
- Provide excellent organization & time management of daily tasks
- Coordinate as a strong team player with excellent communication to Medical Assistants, Physicians and Management in office and working remotely
- Support Management and office staff on various business projects and patient needs
- Verify patient insurance and help obtain patient authorizations for services
- Manage inbound and outbound office calls, faxes and emails with patients, facilities, hospitals, pharmacies, Physicians and Management
- Prioritize time sensitive tasks and information throughout the day
- Help uphold privacy and safety of patient privileged information according to HIPPA regulations and office policies and procedures
-Generate quotes for surgery and review quotes with patients in detail
-Coordinate surgical procedures at our Ambulatory Surgery Center
- Following through on assigned projects from start to finish
Ideal Candidate
- Experience in wound care, plastic surgery, dermatology, vascular, surgical, or post acute care strongly preferred
- Understanding of wound staging, pressure injuries, diabetic ulcers, venous ulcers, surgical wounds, grafts, and VAC therapy preferred
- Strong organizational skills with ability to multitask under pressure
- Comfortable working with high acuity and medically complex patients
- Team oriented with positive attitude and strong patient service skills
- EMR/EHR experience required
- Excellent communication and follow through
Preferred Qualifications
- Certified Medical Assistant preferred
- Wound care experience strongly preferred
- Plastic surgery or surgical office experience preferred
- Experience with photography documentation and sterile procedures preferred
- BLS certification preferred

REQUIREMENTS:
- Prior experience in a medical office
-Plastic Surgery and Wound Care Experience is a huge plus
-Experience providing surgical quotes to patients preferred
-EMR experience required/ Nextech experience is a huge plus
