The Office Administrator is a critical part of the branch team, supporting daily operations through a blend of administrative, payroll, and financial coordination responsibilities. This role ensures efficiency, accuracy, and compliance across multiple areas while serving as a key communication hub between field teams, leadership, and corporate support functions.
- Manage timekeeping and payroll processes, including collecting and submitting weekly employee hours for processing.
- Maintain accurate data entry and reporting within Salesforce and other internal systems.
- Support invoicing, accounts payable/receivable, and billing tracking to ensure timely financial operations.
- Coordinate meetings, prepare agendas, document minutes, and track follow-up items.
- Monitor and maintain safety documentation to ensure compliance with company and industry standards.
- Track deliveries and ensure secure, timely distribution of materials, including employee paychecks.
- Provide general administrative and operational support to the regional team.
- High school diploma or equivalent required; associate’s or bachelor’s degree preferred.
- 2+ years of administrative experience, preferably in construction, industrial services, or a similar environment.
- Proficiency in Microsoft Office Suite, including Word, Excel, Outlook, and PowerPoint.
- Experience with Salesforce or similar CRM/project management tools is a plus.
- Strong organizational skills with the ability to multitask and prioritize effectively.
- Exceptional attention to detail and accuracy.
- Excellent written and verbal communication skills.
- Ability to handle confidential information with professionalism and discretion.
- Basic understanding of accounting processes, including AP/AR and invoicing, preferred.
