Job Overview
We are seeking an organized and detail-oriented Operations Coordinator to support the Operations and Regional teams. This role will compile sales and field reports, monitor Kintone activity and operational email, coordinate follow-up with Regional Managers and store teams, and keep projects and corrective actions on schedule. The position serves as an important communication link between the corporate office, Regional Managers, Franchise Chefs (FCs), company chefs, and other departments.
Essential Duties and Responsibilities
Sales and Reporting Coordination
- - Compile and organize daily, weekly, and monthly sales results by store, market, and region.
- - Review sales information for missing reports, unusual results, performance gaps, and items requiring follow-up.
- - Prepare clear reports and summaries for Operations leadership and Regional Managers.
- - Maintain trackers for sales goals, store performance, operational conditions, and open action items.
Operational Monitoring and Systems
- - Review Kintone store-visit records, photos, reports, and follow-up tasks for accuracy, completeness, and timeliness.
- - Monitor operational emails and communications, summarize key priorities, and ensure the correct person responds or takes action.
- Track deadlines, recurring reports, training records, corrective actions, and project status; escalate overdue, repeated, or high-risk issues to the appropriate leader.
Regional and Store Support
- Communicate with Regional Managers, FCs, and company chefs regarding operational priorities, company policies, deadlines, and required corrective actions.
- Coordinate follow-up on staffing, training, equipment, menu, labeling, store-condition, and retailer requests.
- Support new store openings, chef or franchise transitions, menu launches, promotions, sampling programs, and special projects.
- Help Regional teams organize schedules, reports, action plans, and communication with the corporate office.
Compliance and Continuous Improvement
- Help track food-safety and operational inspection findings, repeat violations, corrective actions, and completion status.
- Ensure important findings and lessons are communicated across applicable regions and stores.
- Assist with preparing operational procedures, training materials, presentations, and meeting notes.
- Recommend practical improvements to reporting, communication, accountability, and workflow.
Team and Project Support
- Provide backup support to other Operations team members during periods of high workload, travel, or urgent field needs.
- Collaborate with Food Safety, Sales, Business Development, Purchasing, Accounting, Marketing, and other departments.
- Complete special analysis, presentations, retailer requests, and operational projects as assigned.
- Participate in meetings and occasional store or regional visits when needed.
Required Qualifications
- One or more years of experience in operations, restaurant or grocery food service, multi-unit support, franchise operations, administrative coordination, or a related role.
- Ability to organize and review sales data, spreadsheets, performance reports, and Microsoft Excel files accurately.
- Proficiency with Outlook, PowerPoint, and other standard office tools, with the ability to learn Kintone or similar database, CRM, reporting, or project-management systems.
- Strong written and verbal communication skills, with the ability to communicate clearly with office and field teams.
- Excellent organization, accuracy, follow-through, and ability to manage multiple priorities and deadlines.
- Sound judgment and discretion with sensitive information, plus the ability to work independently while contributing actively to a collaborative team.
Preferred Qualifications
- Previous experience as a sushi chef, chef, kitchen manager, or food-service operator.
- Knowledge of sushi production, retail food service, food safety, sanitation, HACCP, or quality-control procedures.
- Experience supporting multiple stores, field managers, franchisees, or geographically distributed teams.
- Associate or bachelor's degree in business, operations, hospitality, food service, data analysis, or a related field; equivalent experience will also be considered.
Work Environment and Expectations
- This position is primarily office-based and requires frequent computer, email, phone, and video-conference work.
- Occasional travel and store visits may be required.
- The employee must be able to work effectively in a fast-paced environment where priorities may change quickly.
