Job Purpose: This individual will serve as a program coordinator for educational programs and committees within the Education Department. Additionally, this individual will be the frontline staff liaison for the ASRM Education Department email inbox, responsible for engaging with internal and external stakeholders daily.
Under the direction of the Director of Educational Programming:
- Serves as the staff liaison for the Coding and Patient Education committees. Responsibilities include:
o Facilitating communication with external partners, participants, and internal staff.
o Planning and coordinating onsite, offsite, and virtual events, as needed, to ensure program goals are met.
o Facilitating meetings, including scheduling, developing agendas in collaboration with the committee chairs, assembling/disseminating meeting materials, and recording meeting minutes.
o Oversight of the ASRM Coding Corner.
o Oversight of the dissemination of patient-focused content on ReproductiveFacts.org.
o Tracking expenditures and budget management for committees and programs.
- Serve as the staff liaison for any assigned programs and/or special projects. Responsibilities include:
o Working with internal/external stakeholders, related to budget development, marketing plan development, and identification of content experts.
o Oversight of program implementation, metric/outcome development (in collaboration with committees and ASRM leadership), day-to-day programmatic oversight and results dissemination.
- Work with the Education Department leadership and the CESO on annual budget development for ASRM committees and programs
- Manage the Education Department email inbox, acknowledging, replying, and ensuring resolutions of all incoming messages.
- Coordinates the Committee Nominations process in collaboration with the Director of Educational Programming and CESO
- Attends the ASRM Scientific Congress & Expo yearly and facilitates assigned responsibilities as needed.
Under the direction of the Continuing Education Program Manager:
- Help coordinate and administer Continuing Medical Education (CME) activities, including the preparation, submission, and tracking of CME credit applications.
- Maintain organized records and documentation and track/monitor deadlines for CME activities and compliance requirements, as assigned.
- Provide administrative support for CME committee meetings (2 times per year).
- Coordinate, in collaboration with the CME Manager, accreditation requirements and credit reporting for regional/focal meetings.
- Maintain CME activity records (for online, on demand and in-person programming) in PARS and support annual reporting processes for accrediting agencies.
- Assist with managing CME operations during the annual meeting (e.g., badge scanning, etc.
- Preparing department, program, and committee reports (in collaboration with the committee chair) for the Chief Education & Science Officer, the CEO, and the Board of Directors.
Qualifications:
- Bachelor’s degree required, Master’s preferred.
- At least 2 years of relevant experience in project management and/or program coordination required, 3+ years preferred.
- Experience facilitating and coordinating programs, activities, events, and/or workgroups.
- Sharp organizational skills.
- Highly motivated with excellent interpersonal skills.
- Self-directed, able to work independently and function as an effective team member.
- Strong verbal, written, and computer communication and presentation skills.
- Ability to think critically and solve issues.
- Ability to manage multiple simultaneous projects/responsibilities.
- Ability to work with a diverse group of individuals both on-site and remotely.
- Ability to use and learn new technologies, platforms, and/or software.
