Our law firm focuses on Estate Planning and Personal Injury. Legal experience is not required. We are looking for someone with a great attitude, strong communication skills, and a willingness to learn.
Responsibilities may include speaking with potential clients, assisting with client follow-up, organizing information, helping with scheduling, and supporting the firm with administrative tasks.
The right candidate should be personable, dependable, comfortable speaking with people, and able to stay organized in a professional office environment.
Responsibilities Include:
∙ Greet clients and act as initial point of contact for clients
∙ Manage office phones, including answering, screening and forwarding incoming calls and scheduling/confirming client appointments
∙ Maintain office’s electronic client database, including accurately entering new client information and updating client information as needed
∙ Prepare client files and manage filings
∙ Assist with filing and recording of legal documents
∙ Draft cover letters and other brief correspondences to clients
∙ Communicate basic and accurate information via phone/email about office’s location and services
∙ Manage incoming and outgoing mail, including preparing documents for mailing
∙ Perform clerical duties such as printing, photocopying, and faxing
Requirements:
∙ Proven work experience as a Receptionist, Office Assistant or similar role, with references available
∙ Strong written and verbal communication skills
∙ Bilingual in English and Spanish
∙ Excellent organizational skills and attention to detail
∙ Multitasking and time-management skills, with the ability to prioritize tasks
∙ Friendly, personable and customer service oriented, with a professional attitude and appearance
∙ Ability to be resourceful and proactive when issues arise
∙ Proficiency in Microsoft Office Suite, Canva, Adobe Features, and Customer Relationship Management (CRM) software
∙ Hands-on experience with office equipment (e.g. computers, printers/scanners and fax machines)
Location
∙ 85% remote, but there is flexible need to come in to office for staff meetings, estate plan signings, and essential client meetings; All in-person meetings are coordinated in advance
Compensation:
