Job Summary
We are seeking an energetic and detail-oriented Receptionist/Administrative Assistant to join our dynamic team. Responsibilities
- Greet visitors warmly, assist with check-in procedures, and direct them appropriately
- Manage multi-line phone systems with professionalism, using proper phone etiquette to handle inquiries and route calls effectively
- Maintain a clean, organized front desk area and manage incoming and outgoing mail and packages
- Perform data entry, filing, and document proofreading to ensure accuracy and confidentiality
- Utilize Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace to prepare reports, schedule appointments, and manage correspondence
- Support office management tasks such as calendar management, appointment scheduling, and basic bookkeeping using QuickBooks or similar software
- Provide customer support by answering questions, assisting with inquiries, and offering excellent service to clients and visitors
Experience
- Prior office experience or administrative support roles preferred; experience as a dental or medical receptionist is a plus
- Strong computer literacy with proficiency in Microsoft Office, Google Workspace, data entry, and basic bookkeeping software like QuickBooks
- Excellent organizational skills with the ability to multitask efficiently in a fast-paced environment
- Bilingual abilities are highly desirable to serve diverse client needs effectively
- Demonstrated customer service skills with professional phone etiquette and clerical experience
- Familiarity with multi-line phone systems, filing systems, and calendar management tools
- Personal assistant or office management experience that showcases strong time management and organizational capabilities
