Orchard Farm School District is seeking to hire an Administrative Assistant to join our Facilities team!
The Administrative Assistant provides clerical support to the department administrators and staff members, providing a wide variety of complex and confidential administrative and secretarial support, communicating information to school district employees, students, parents and others as required, and to assist in ensuring compliance of department/program activities with legal, administrative and District policy requirements.

Position: 12 month (non-exempt)
Starting Salary: $18.00 - $22.00
Essential Functions: include but limited to the following

Purchase orders for the Maintenance and Custodial departments

Data Entry
-
Composes documents (e.g., correspondence, bulletins, reports) for Building Administrator or other staff for the purpose of requesting or providing information, confirming events, etc.

Maintain operations for district key entry system.

Maintain and publish accurate and up-to-date events calendars utilizing web software to post and update.

Provide administrative support to custodial department with vendors and logistics.

Prepares, copies and distributes notices, memoranda or other correspondence for the purpose of informing school employees, students, parents, and others regarding activities, events or other work-related matters.

Attends meetings as assigned for the purpose of conveying and/or gathering information required to perform functions.

Assists in maintaining the daily/weekly/monthly calendar for the purpose of coordinating the scheduling of work-related appointments, activities, meetings, etc.

Assists in overseeing workload of the Department Head for the purpose of maximizing efficiency and meeting operational requirements.

Assists in maintaining documents, files and records for the purpose of providing up-to-date reference and audit trail for compliance.

Answers department telephone calls, and provide information and assistance to callers.

Prepares professional developement arrangements for director and department staff.

Manage special projects as assigned by Director.

Performs other related duties, as assigned, for the purpose of ensuring the efficient and effective functioning of the department.
Minimum Qualifications

High School Diploma or equivalent

Two (2) years clerical experience

College course work, Associate or Bachelors degree preferred

Successful experience with office management in related area preferred.

Ability to relate to students, staff, and parents in a positive manner.

Ability to communicate clearly in verbal and written form.

Ability to follow written and oral communication.

Ability to safeguard confidential information.

Strong computer skills including word processing, working with spreadsheets and databases (Microsoft Office and Google Suite)

Knowledgable about supportive and administrative procedures and directives.
