Job Title: Office Administrator; Accounting & Operations Support

SpaceCenter Systems is seeking a dependable and organized Office Administrator to support our Accounting, Front Desk, and Operations teams. This is a hands-on, multi-department role for someone who enjoys staying busy, helping customers, and keeping the office running smoothly.
This is not a senior accountant position. We are looking for someone who can assist leadership, support accounting functions, float to the front desk when needed, and help maintain strong communication with customers.

Primary Responsibilities Front Desk & Customer Support
- Greet and check in walk-in customers professionally
- Answer incoming calls and create service tickets in Autotask
- Call customers for service follow-ups and satisfaction checks
- Route calls and messages to the appropriate departments
- Assist with scheduling coordination when needed
Invoicing & Accounting Support
- Create and send customer invoices from Autotask tickets and contracts
- Receive and apply payments, including credit card and ACH transactions
- Assist with collections and customer account follow-up
- Support accounts payable and accounts receivable tasks
- Maintain accurate records in QuickBooks Enterprise Desktop
- Reconcile payments between Autotask and QuickBooks
- Assist leadership with financial documentation and reporting
Inventory & Office Operations
- Track office supplies and ensure the office stays stocked
- Assist with inventory intake and organization
- Maintain accurate inventory counts for small equipment and supplies
- Support documentation, filing systems, and internal organization
- Provide administrative support to all departments as needed
Qualifications
- 2+ years of administrative, office, or accounting support experience
- Comfortable answering phones and communicating professionally with customers
- Experience with QuickBooks Desktop preferred
- Experience with Autotask or similar PSA software a plus
- Strong computer skills, including Microsoft Office and Excel
- Highly organized and detail-oriented
- Ability to multitask and prioritize effectively
- Professional, dependable, and trustworthy

This is a full-time, in-office position in Pearland, TX. Remote work is not available.

Pay: $39,285.00 - $41,585.00 per year
