Job Summary:
The Receptionist / Shipping & Receiving Clerk is responsible providing timely coverage of the telephone system along
with other clerical duties assigned by customer service representative and or office manager. Greeting and assisting
visitors is an important responsibility. The Receptionist / Shipping & Receiving Clerk is also responsible for ensuring that
all shipping and receiving documents and functions are completed accurately and on time. The shipping and receiving
clerk communicate with customers as required and, in conjunction with the Transportation Specialist, develops inbound
and outbound freight schedules
Specific Duties and Responsibilities:
Communications: Answers incoming calls in a cheerful, courteous and timely manner. Promptly routes each call to the
proper party, taking messages when it is necessary. Also maintains an updated sign in log to record visitor whereabouts
and duration in warehouse. Assists callers with general information and inquires, directs visitors to the appropriate area.
Mail: Receives and signs for incoming packages, notifying department managers of the arrival of the packages.
Clerical Assistance: Assist the customer service representative and office manager as required for the following:
Run reports and distribute to the appropriate personnel
Assist with all clerical functions
Maintain correspondence file
Maintenance: Maintains area in a neat and orderly manner. Makes sure all equipment is off before leaving for the day
Order Management: Processes and inputs all customer orders. Verifies that on-hand inventory is sufficient to cover
shipping orders. Generates all related paperwork and necessary information required for customer work orders, checks
all orders for special requests, and highlights to the operations manager, warehouse manager supervisor or anyone else
that may need to know, when requests deviate from the normal. Furnishes shipping and if need be tracing information
to customers as required.
Inbound/Outbound Freight: Checks drivers in and updates the schedule as required. Prepares paperwork for the dock
to receive or load-out trucks, and distributes documentation to appropriate party. Ensures the accuracy of all shipping
and receiving documents, and gathers and maintains all data and records relative to shipping and receiving activities.
Assures that receiving counts match purchase orders or drivers’ documentation and that shipping counts match delivery
ticket requirements and assists in resolving any discrepancies. Sign out drivers and supply with proper paperwork.
Shipping: Prepares delivery tickets after checking warehouse inventory to verify quantity. Distributes correct copies to
customer and files other copies, and confirms this activity on the computer.
Record keeping: All shipping and receiving documents
Equipment: Utilizes common office equipment
Qualifications:
Experience or Training Required:
Knowledge of computers
General office skills
Ability to handle more than one task at a time.
