Administrative Assistant -
Twin Resources is a large Design/Build Landscape Company located in Monmouth County serving the Tri-State area.
We are seeking a highly organized and detail-oriented Administrative Assistant to support our Purchasing and Procurement Team. This position is ideal for someone who enjoys working in a fast-paced environment, coordinating multiple tasks, and helping ensure materials and supplies are delivered accurately and on time.
Position Summary:
The Administrative Assistant will provide administrative and clerical support to the Purchasing and Procurement Department by assisting with purchase orders, vendor communications, material tracking, and documentation management. This role is critical in maintaining efficient purchasing operations and supporting our construction and maintenance teams.
Responsibilities:
- Create, process, and track purchase orders and material requests
- Coordinate with vendors and suppliers regarding pricing, availability, deliveries, and order status
- Maintain purchasing records, vendor files, and procurement documentation
- Enter and update information accurately in company software systems
- Monitor and follow up on outstanding orders and delivery schedules
- Assist with obtaining quotes and comparing pricing from vendors
- Support inventory tracking and equipment/material procurement activities
- Coordinate deliveries and communicate with project managers and field personnel regarding material needs
- Prepare reports, spreadsheets, and purchasing summaries
- Answer department phone calls and emails professionally and promptly
- Assist with special projects and other administrative duties as assigned
Qualifications:
- Previous administrative experience, preferably in purchasing, procurement, construction, or a related industry
- Strong organizational and time management skills
- Excellent communication and customer service abilities
- High attention to detail and accuracy
- Proficiency in Microsoft Office
- Experience with QuickBooks and Microsoft Excel a must
- Ability to prioritize multiple tasks and meet deadlines in a fast-paced environment
- Experience with purchasing, inventory, or ERP software is a plus
- Construction or landscape industry experience is preferred but not required
