We are seeking a highly organized and proactive Office Administrator to oversee daily office operations and ensure smooth administrative functioning. The ideal candidate will have strong communication, organizational, and management skills, with experience in office management, bookkeeping, and human resources. Duties
- Manage calendar scheduling and coordinate appointments for staff and executives
- Oversee front desk operations, including multi-line phone systems and visitor reception
- Handle filing, record keeping, and document management with attention to detail
- Supervise administrative staff and coordinate training & development initiatives
- Manage vendor relationships, including procurement and service agreements
- Oversee payroll processing using QuickBooks or similar accounting software
- Assist with budgeting, expense tracking, and basic bookkeeping tasks
- Support event planning activities for company functions and meetings
- Ensure compliance with office policies and procedures
- Maintain effective communication across departments to facilitate workflow efficiency
Requirements
- Proven experience in office administration, clerical work, or related roles
- Strong organizational skills with the ability to multitask effectively
- Excellent communication skills and professional phone etiquette
- Experience with QuickBooks, calendar management, and schedule coordination
- Supervising or team management experience preferred
- Knowledge of human resources functions such as payroll and employee records management
- Ability to handle vendor management and basic budgeting tasks
- Experience in medical office management or healthcare settings is a plus
- Proficiency in office tools such as MS Office Suite (Word, Excel, Outlook)
- Demonstrated ability to manage front desk operations and multi-line phone systems
- Strong attention to detail, confidentiality, and problem-solving skills
