Job Summary
The Receptionist / Administrative Assistant plays a vital role as the first point of contact for the facility while providing comprehensive administrative support to the HR and leadership teams. This position combines professional front-desk duties with a wide range of clerical, organizational, and project support tasks in a fast-paced food manufacturing environment. The ideal candidate is highly organized, proactive, and able to handle multiple responsibilities with a positive, professional demeanor while maintaining strict confidentiality and compliance with company and food safety policies.
Key Responsibilities
· Greet and welcome visitors, vendors, and guests; manage sign-in processes, issue visitor badges, and enforce facility security and food safety protocols.
· Enforce facility policies for all visitors (i.e., no unauthorized access to production areas, PPE requirements where available).
· Answer, screen, and direct incoming phone calls; take detailed messages and ensure timely follow-up.
· Provide administrative support to HR and management, including scheduling meetings and interviews, preparing correspondence and reports.
· Assist with HR processes such as onboarding paperwork, employee file maintenance, badge issuance, and basic personnel and benefit inquiries.
· Maintain incoming and outgoing mail, packages, and deliveries; maintain accurate records and distribution logs.
· Monitor and maintain the cleanliness and organization of the front office, along with other light housekeeping duties.
· Perform data entry, filing, scanning, and record-keeping with high degree of accuracy.
· Support recruitment efforts by coordinating interview schedules and preparing new hire materials.
· Help organize company events, employee recognition activities, and meetings (including room setup and catering coordination).
· Point of contact for employee communications via bulletin boards and internal television system.
· Maintain office supplies inventory and place orders as needed.
· Manage other special projects and other administrative duties as assigned.
Qualifications and Requirements
· High school diploma or GED required; Associate’s or Bachelor’s degree in Business Administration or related field preferred.
· 2+ years of experience in a receptionist, administrative assistant, or similar role (manufacturing or food production environment preferred).
· Strong proficiency in Microsoft Office Suite (Word, Excel, Outlook).
· Excellent verbal and written communication skills with a professional phone and in-person presence.
· Exceptional organizational and multitasking abilities with high attention to detail.
· Ability to maintain confidentiality and handle sensitive information appropriately.
· Reliable attendance and proactive attitude, and strong team orientation.
· Ability to sit or stand for extended periods at a desk.
· Occasional lifting of packages or supplies up to 25 lbs.
