Position Summary & Responsibilities:
Position Summary: This position is located at the Larned State Correctional Facility and provides administrative support to the Human Resources area, specializing in recruitment functions.
Job Responsibilities may include but are not limited to the following:

Drafts and posts job vacancy announcements and advertisements internally and externally, maintains recruitment files for each vacancy advertised and responds to requests for information about LSCF vacancies. Requests and obtains approval to fill unclassified positions. Screens applications to determine candidate meets minimum qualifications, preferred skills, and special qualifications. Processes incoming job applications and responds to job applicant inquiries. Schedules interviews. Assembles interview packets for interview board. Prepares Candidate Assessment Summary, completes security clearance check paperwork, contacts work references, makes conditional offers, and sends written notification to candidates not selected for position. Schedules drug screens and physicals for prospective employees. Retains interview information as dictated by agency policy. Assists HR Manager with staff retention efforts and attends job fairs as needed.

Reviews position descriptions, organization charts, budget impact statements, and other correspondence required to fill, allocate, reallocation of positions; works with Human Resources Manager to conduct necessary audits to determine propriety of the classification to that position. Prepares a variety of reports to keep the Warden and the KDOC Human Resource Director informed of position vacancies, classification actions, and recruitment actions. Provides position descriptions to supervisors upon candidate selection, ensures HR receives the original document with appropriate signatures, and provides copies to supervisor and incumbent prior to being filed. Reviews position descriptions for accuracy and appropriateness and makes changes as requested or needed.

Oversees the Performance Review process for the agency, including the tracking process, to ensure performance reviews are completed by due date. Assigns probationary reviews to new and promoting employees. Provides follow-up on late or incomplete reviews to the supervisor and Human Resources Manager. Provides assistance and training to supervisors and employees on the review process as needed.

Greets employees or members of the public, either in person or by phone. Orders supplies, obtains and routes mail, posts notices on official bulletin boards, runs errands, and files documents in employee personnel files and employee medical files as needed.

Performs Human Resource Professional I job duties in their absence. Assumes other duties as assigned.
Qualifications:
Licensing & Certification : Must have a valid driver's license and provide a copy.
Minimum Preferred Qualifications : Must have two years of experience in general office, clerical, or administrative support work. Education may be substituted for experience as determined relevant by the agency. Transcripts are required for education to be considered.

Experience with Statewide Human Resource and Payroll System (SHaRP)

Experience with computers, printers, fax machines, copiers, scanners, and multi-line telephone systems

Experience sorting and filing documents in a record or filing system

Knowledge and experience with Microsoft computer programs (Outlook, Word, Excel, and Access)

Knowledge and experience in human resources especially with recruitment and application processes

Ability to maintain confidentiality

Great attention to detail

Strong ability to prioritize, handle multiple tasks, and stay organized

Ability to communicate effectively both written and verbally

Ability to read and interpret policies, procedures, and guidelines
