Job Overview
We are seeking a proactive and detail-oriented Scheduling/Admin Assistant to support our administrative operations. The successful candidate will manage appointment scheduling, communicates with parents, funders and assists with audits and client intake information, handle and provide essential clerical support to ensure smooth office functioning. Responsibilities
- Schedule client sessions based on staff availability, client needs, and authorized service hours.
- Work closely with recruiters, supervisors, and clinical staff to ensure clients are scheduled for their full authorized hours.
- Coordinate primarily in-home client schedules throughout various regions of California, as well as services provided at our McKinney clinic.
- Audit provider schedules to ensure sessions are rendered as scheduled and documentation is completed accurately and timely.
- Monitor session notes and scheduling records to ensure consistency and compliance.
- Assist with funding source requirements, authorizations, and related administrative processes.
- Serve as a point of contact for families and staff regarding scheduling updates and changes.
- Maintain accurate scheduling records and data within company systems.
- Work from our McKinney clinic and assist with day-to-day office operations as needed.
- Perform other administrative duties assigned by management.
Qualifications & Requirements
- High school diploma or GED required; associate's or bachelor's degree preferred.
- Minimum of 1 year of administrative, scheduling, healthcare coordination, or customer service experience preferred.
- Experience in ABA, behavioral health, healthcare, or a related field preferred but not required.
- Strong organizational skills with the ability to manage multiple priorities and meet deadlines.
- Excellent verbal and written communication skills.
- Comfortable using computers, scheduling software, email, Google Workspace, and other basic office applications.
- Ability to maintain accurate records and pay close attention to detail.
- Ability to maintain confidentiality and handle sensitive client information in compliance with HIPAA requirements.
- Professional, dependable, and able to work effectively with clients, families, and team members.
- Ability to successfully pass a background check and any other employment screening requirements.
- Bilingual abilities are a plus to effectively communicate with diverse clients and team members.

Pay: $17.00 - $19.00 per hour
