Piedmont Hills Center for Nursing and Rehabilitation is seeking a highly organized, dependable, and customer-focused Transportation Scheduler to join our team. The Transportation Scheduler is responsible for coordinating all non-emergency resident transportation, maintaining transportation schedules, communicating with drivers and clinical staff, and ensuring residents arrive safely and on time for appointments, procedures, admissions, and other approved destinations. This position requires outstanding organizational skills, attention to detail, and the ability to thrive in a fast-paced healthcare environment.
Coordinate and schedule all non-emergency resident transportation in an efficient and timely manner.
Receive, review, and process transportation requests from nursing staff, physicians' offices, hospitals, dialysis centers, and other healthcare providers.
Maintain daily transportation schedules and make adjustments as appointments or resident needs change.
Communicate schedules, route changes, delays, and special transportation needs with drivers throughout the day.
Monitor transportation requests through email, phone calls, and scheduling software to ensure timely response and accurate documentation.
Verify appointment times, addresses, and transportation requirements prior to dispatch.
Coordinate transportation priorities to maximize efficiency while maintaining excellent resident service.
Maintain accurate transportation records, logs, trip documentation, and scheduling reports.
Complete transportation documentation promptly to ensure accurate billing and recordkeeping.
Communicate professionally with residents, family members, physicians' offices, hospitals, vendors, and internal departments.
Work collaboratively with Nursing, Admissions, Social Services, Therapy, and Administration to ensure transportation needs are met.
Respond quickly to schedule changes, cancellations, emergencies, and unexpected transportation challenges.
Coordinate vehicle maintenance appointments and communicate vehicle availability with leadership.
Report transportation incidents, accidents, or service disruptions according to facility policies and assist with required documentation.
Maintain resident confidentiality and comply with all HIPAA regulations.
Perform additional administrative duties and special projects as assigned.
High school diploma or equivalent required.
Previous scheduling, dispatching, transportation coordination, healthcare, or administrative experience preferred.
Experience in a skilled nursing facility, rehabilitation center, hospital, or medical office is highly preferred.
Strong computer skills with proficiency in Microsoft Office, Outlook, and scheduling software.

Frequent sitting while coordinating transportation schedules and completing documentation.
Occasional standing, walking, bending, and lifting up to 25 pounds.
Ability to use computers, telephones, and standard office equipment throughout the workday.
Ability to communicate effectively with residents, families, staff, and outside providers.
