Job Summary:
The Receptionist serves as the first point of contact for patients, assists clinical staff, and helps maintain efficient and organized workflows.
Key Responsibilities:
Patient Care and Administrative Support
- Greet and check in patients in a courteous and supportive manner
- Address patient inquiries in person, over the phone, or via secure messaging
- Manage patient intake, consent, and HIPPA forms
- Collect patient balances for in-person payments
- Open and close the clinic, including securing the facility and assisting with preparing the front office for daily operations
Scheduling and Communication
- Answer incoming phone calls and respond or triage calls effectively
- Maintain a detailed call log including caller information, the reason for call, and action items required
- Ensure the call log is followed up in a timely manner
- Schedule and confirm patient appointments, follow-ups and virtual visits
- Maintain and update provider appointment calendars, ensuring optimal scheduling for providers
- Communicate with patients regarding appointment reminders, follow-up instructions, virtual office access links, and general inquiries
Clinical Support
- Assist providers with organizing and distributing medication samples
- Communicate with pharmacies regarding prescription refills, clarifications, and prior authorizations
- Scan and upload documents to patient charts
- Obtain biological specimens from patients
- Facilitate pickup/delivery of specimen results and update patient information in the diagnostic company platform
- Communicate patient concerns and schedule updates to clinical staff promptly
- Assist with ad-hoc requests and special projects as assigned to support the overall mission, goals, and values of the clinic
Qualifications:
- 2+ years of experience in a medical or behavioral health setting
- Strong communication, organizational, and multitasking skills
- Proficiency with EHR software (Practice Fusion), Microsoft Office, and Google Workspace
- Ability to work with diverse populations and manage sensitive and confidential situations with professionalism and empathy
- Familiarity with HIPAA and confidentiality practices
Physical Requirements:
This position primarily operates in an office environment. The role requires the ability to sit for extended periods, use a computer and other standard office equipment, and occasionally lift or move items up to 10–15 pounds. Some walking, bending, and standing may be required.
