Compensation: Salary range: $60,000 to $75,000 annually. full-time. Annual Salary based upon qualifications, experience, and market competitiveness. Future salary adjustments are based on performance, market conditions, and the Administration's financial position.

Position Summary
The Director of Administration & Operations reports directly to the Executive Officer and serves on the HBA Leadership Team. This position provides operational leadership, organizational accountability, and administrative support to advance the Association's mission and strategic priorities. Working closely with the Executive Officer, the Director oversees organizational systems, technology, budgeting, human resources, operational planning, and the implementation of the Entrepreneurial Operating System (EOS), including leadership meetings, planning, and organizational accountability. Essential Job Requirements
Leadership & Organizational Support
- Report directly to the Executive Officer.
- Serve as a member of the HBA Leadership Team.
- Support staff leadership development and foster a positive organizational culture.
- Assist employees across departments in achieving Association goals.
- Identify operational improvement opportunities and implement approved solutions.
- Serve as staff liaison to councils and committees as assigned by the Executive Officer.
Entrepreneurial Operating System (EOS)
- Coordinate and facilitate all EOS meetings.
- Prepare agendas, scorecards, Rocks, Issues Lists, meeting materials, and meeting minutes.
- Track quarterly Rocks, action items, and organizational priorities.
- Coordinate quarterly and annual planning sessions.
- Promote organizational accountability and consistent implementation of EOS.
Office & Operational Management
- Oversee day-to-day office operations.
- Ensure consistent implementation of the HBA brand across office operations and materials.
- Coordinate facilities, vendors, contracts, equipment, and office supplies.
- Develop and improve operational policies, procedures, and organizational systems to enhance efficiency.
- Coordinate insurance renewals and risk-management activities.
Human Resources
- Coordinate and facilitate new employee onboarding and orientation.
- Maintain personnel policies, organization charts, and job descriptions.
- Coordinate staff development and professional growth opportunities.
- Partner with outside HR resources.
- Maintain the highest level of confidentiality in all personnel matters.
Budget & Financial Support
- Assist with development of the annual operating budget.
- Monitor operational budgets and monthly financial projections.
- Coordinate with the Finance Consultant and Membership & Accounting Manager.
Technology & Information Systems
- Coordinate IT vendors and office technology.
- Support and maintain the Association Management System, website (WordPress), and reporting tools.
- Ensure data integrity and maintain technology resources.
- Manage the Association's AI platform, including ChatGPT Team administration, user support, governance, training, and adoption of AI best practices to improve organizational effectiveness.

Qualifications
- Bachelor's degree or equivalent professional experience preferred.
- Association management experience preferred.
- Proficiency in Microsoft Office and database skills.
- Experience using AI tools, such as ChatGPT.
- Knowledge of the housing and building industry is preferred.
Physical Requirements
Ability to perform the essential functions of the position in a professional office environment, including occasional lifting of up to 25 pounds and participation in evening and weekend meetings, events, and Association activities as needed.
