Phoenix Electric is looking for an experienced, detail-oriented office administrator to run customer scheduling, billing, and job records in Service Fusion.
This is a high-trust seat. The person here keeps the business moving: customers get answered, appointments stay organized, invoices go out correctly, payments are logged accurately, and follow-up doesn't fall through the cracks. You'll work directly with the owner.
What you'll own day to day:
Answer customer calls and messages, and be the live person when someone needs one. Manage the daily schedule, confirmations, and customer follow-ups. Keep customer, job, invoice, and payment records accurate in Service Fusion. Create and verify invoices before they go out. Collect and log payments, you personally handle the final steps on anything involving money. Communicate professionally about appointments, billing questions, and follow-up needs.
Pay:
$24.00-$35.00 per hour to start, depending on experience. Candidates with proven small-business office experience (bookkeeping, invoicing, AR/AP, payroll, permits, COIs) start at the higher end of this range.
Straight talk on that number: it reflects where Phoenix Electric is right now, not what this seat is worth. We're mid-restructuring and running lean. Right now the owner is running the company, building the systems, and working as the master electrician, and that doesn't scale without a real partner in the office. This role is a large part of whether we come through this transition well. As the company stabilizes, there's real room for pay and benefits to grow, with a compensation review at 90 days based on accuracy, reliability, and ownership of the role.
Schedule and equipment:
Full-time, Monday-Friday, 8:00am-5:00pm. Primarily remote (work from home), with occasional in-person meetings as needed.
Equipment provided: laptop, dual monitors, a capable mobile hotspot (tether it to your router, or take it with you when you're working from elsewhere), printer, and whatever else you need to do the job well.
AI-supported workflow:
Phoenix Electric is building its own in-house AI office system rather than buying off the shelf. The tools carry repetitive load, call routing, scheduling support, follow-up reminders, record organization. You won't just use these tools; you'll help direct, correct, and shape what they're allowed to do.
No AI experience is required, we'll train you on that from scratch. What matters is real office experience: the system learns from how the person in this seat actually handles calls, scheduling, and billing, so an experienced hire builds on the accuracy we've already established.
Growth path:
You'll start with phones, scheduling, customer communication, data entry. Once that's solid, you'll move into invoicing and billing. Then: AR/AP, payroll support through ADP, permits and COIs, and price book maintenance.
Growth is based on demonstrated reliability and accuracy, not time served. If you come in with the experience for it, the full range is available as trust is established.
Qualifications:
Prior experience in office administration, scheduling, billing, bookkeeping, or dispatch. Strong phone and customer service skills, with genuine care for customers and coworkers. Detail-oriented with data entry, billing, and payment accuracy. Comfortable with computers and willing to learn new software. Reliable and trustworthy with customer and payment information. Small-business office experience strongly preferred.
