Position Summary
The Office Manager is responsible for overseeing the administrative and operational functions of Carolina Urgent Care's Chapel Hill and Durham locations. This includes staff management, scheduling, clinic workflows, patient service, inventory, vendor coordination, and other day-to-day operational needs.
The ideal candidate is organized, proactive, professional, and comfortable managing multiple priorities in a fast-paced healthcare environment.
Essential Duties and Responsibilities:
Staff & Operations
- Oversee day-to-day operations at both locations
- Manage, schedule, train, and support front-office and clinical support staff
- Assist with recruiting, onboarding, and employee performance management
- Monitor clinic workflows and identify opportunities to improve efficiency
- Ensure staff follow company policies and established procedures
- Address operational and staffing issues and communicate significant concerns to ownership
- Help maintain a positive, professional, and accountable workplace
Administrative Responsibilities
- Assist with billing-related issues and coordinate with outside vendors
- Assist with payroll, invoices, reports, and other administrative tasks
- Monitor and order medical and office supplies
- Coordinate with vendors, contractors, and service providers
- Assist with audits, compliance requirements, and maintaining appropriate records
- Support compliance with HIPAA, OSHA, and other applicable requirements
Patient Experience
- Help ensure patients receive friendly, professional, and efficient service
- Address patient concerns and assist with escalated situations when needed
- Identify opportunities to improve the overall patient experience
Experience & QualificationsPreferred Qualifications
- Previous experience in healthcare, a medical office, urgent care, or a similar environment
- 1-2 years of office management, supervisory, or leadership experience
- Previous urgent care or high-volume outpatient experience is a plus
- Experience managing multiple locations is a plus
- Familiarity with medical billing, insurance, EMR systems, and scheduling is preferred

Education
High school diploma or equivalent required. A degree in healthcare administration, business administration, or a related field is preferred but not required.
