Position Summary: The Quality Assurance Document Coordinator is a key support role within the Quality Assurance (QA) team, reporting directly to the QA Manager. This position is responsible for assisting in the documentation and maintenance of quality assurance programs, ensuring compliance with company standards and regulatory requirements. The QA Document Coordinator will play a critical role in data collection, documentation, and process improvement initiatives, while supporting the QA Manager in daily operations.
Primary Duties and Responsibilities:
- · Assist the QA Manager in documenting and maintaining quality assurance programs and systems.
- · Use the ERP and QMS systems, ensuring their effective use to support quality processes and data management.
- · Collect, organize, and analyze quality data from ERP and QMS systems to support reporting and decision-making processes.
- · Maintain accurate documentation and records for audits, inspections, and compliance purposes within the QMS.
- · Support the QA Manager in documenting internal audits and ensuring corrective actions are tracked in the QMS.
- · Monitor and verify quality control checks to ensure adherence to established standards, utilizing ERP and QMS tools.
- · Assist in the storage and updating of Standard Operating Procedures (SOPs) and quality-related documentation within the QMS.
- · Collaborate with cross-functional teams to support quality-driven initiatives and process improvements, leveraging ERP and QMS data.
- · Help coordinate supplier and co-manufacture quality programs through documentation and performance tracking in the QMS.
- · Support the QA Manager in training and mentoring QA Technicians and other staff in quality processes, including the use of ERP and QMS systems.
- · Assist in the preparation for regulatory, customer, and third-party audits, ensuring all required data is accessible in the QMS.
- · Ensure Certificates of Analysis (COAs) and other quality documentation meet requirements and are accurately recorded in the QMS.
- · Participate in the review and improvement of food safety plans, HACCP, and allergen control programs, utilizing ERP and QMS tools.
- · Maintain organized and accessible quality records and documentation within the QMS for easy retrieval and reference.
- · Perform other assigned duties, as needed.

Qualifications / Education / Experience Desired:
- · Strong technical food background (food chemistry, cereal chemistry, etc.)
- · Proficient in Microsoft Office Suite applications
- · ERP & QMS Management experience preferred
- · Experience with FDA and other third-party auditing entities is a plus
Language / Mathematical / Reasoning Ability:
- · Must be able to accurately document information in a timely manner
- · Must be able to write and speak, both clearly and effectively
- · Must be able to multi-task in a fast-paced environment
- · Strong math skills required
- · Must be able to speak, read, and write in English.
- · Bilingual English/Spanish preferred
Supervision Given:
- · This position will report to the FSQA Manager
- · This position is expected to be able to work with minimal oversight at times, and be able to confidently handle situations on their own.
