Museum Administrative Assistant
The Towing and Recovery Hall of Fame and Museum is seeking a friendly, organized, and detail-oriented Administrative Assistant to join our team. This position plays a vital role in supporting the daily operations of our nonprofit museum and ensuring an exceptional experience for our members, visitors, donors, and industry partners.
The ideal candidate is organized, detail-oriented, professional, dependable, and enjoys working in a collaborative environment where no two days are exactly the same.
The International Towing Museum has been present in Chattanooga for over 20 years and have been in our current location on Broad Street since 2003. We are dedicated to not only preserving the history of the tow truck (which was invented here in Chattanooga) but educating the public on our various vehicles, industry and mission to help create awareness for those that are risking their lives to help the general public. Our museum is a 501(c)3 non-profit.
Responsibilities
- Answer and direct incoming phone calls and emails and direct advanced concerns to management when needed.
- Manage office correspondence, filing, data entry, and record keeping.
- Organize digital and paper filing systems.
- Manage daily bookkeeping tasks in Quick-books including paying and sending invoices and maintaining daily records and bank account information. Maintain financial spreadsheets for events.
- Manage and process credit card receipts and payments.
- Manage daily banking deposits from daily cash sales. Process check payments.
- Assist with membership processing, renewals, and database updates. Familiarity with CRM systems is a plus.
- Process donations, orders, and payments accurately.
- Prepare weekly status reports to be sent to the Board of Directors.
- Coordinate mailings and administrative support for museum events and programs. Prepare letters, mailings, and administrative documents.
- Maintain office supplies and assist with general office organization.
- Schedule and participate in meetings and maintain calendars as needed.
- Support museum management and staff with special projects and day-to-day administrative tasks.
- Coordinate with Gift Shop Manager on inventory invoices and payments. Assist Gift Shop Manager with restocking inventory and merchandising and display upkeep if needed.
- Greet visitors and provide excellent customer service, help work the front desk as needed.
- Help promote museum memberships, merchandise, and events. Assist with event preparation and sponsorship materials as needed.
- Assist with opening and closing procedures.
Qualifications
· The ideal candidate is dependable, professional, friendly, and enjoys helping keep an office running smoothly while providing excellent service to visitors, members, and coworkers.
- Previous administrative or office experience preferred
- Strong organizational and time management skills
- Excellent verbal and written communication skills
- Proficiency with Microsoft Office (Word, Excel, Outlook) and general computer applications. Familiarity with Quick-books and Google Workspace is required.
- Ability to learn new software and work independently
- Professional, courteous, and customer-focused attitude. Excellent customer service and communication skills
- Experience with nonprofit organizations, museums, or membership organizations is a plus
- Strong organizational skills with the ability to multitask effectively
- Reliable, punctual, and professional
- Ability to work on a team or independently
- Retail, hospitality, customer service, or museum experience preferred but not required
- Ability to work weekends and special events
