Position Summary
The Rock County Historical Society is seeking a highly organized and motivated Events & Operations Coordinator to support the planning and execution of events, manage facility rentals, and provide essential administrative support to the Executive Director. This role plays a key part in ensuring smooth daily operations, successful public programming, and a high-quality visitor and renter experience across RCHS properties.
This is a full-time position with flexible hours, including occasional evenings and weekends based on event and rental schedules.
Key Responsibilities:
Events Management:
- Plan, coordinate, and execute RCHS events, programs, and public activities
- Serve as on-site coordinator for events, ensuring smooth logistics and guest experience
- Collaborate with vendors, volunteers, and community partners
- Assist in developing event timelines, checklists, and operational plans
Facility Rentals:
- Manage all aspects of facility rentals including inquiries, bookings, contracts, and scheduling
- Coordinate setup, breakdown, and logistics for rental clients
- Serve as primary point of contact for renters before, during, and after events
- Ensure facilities are properly prepared and maintained for rentals
Administrative Support:
- Provide direct administrative support to the Executive Director
- Assist with scheduling, correspondence, recordkeeping, and document preparation
- Support financial and operational tracking as needed (in coordination with bookkeeping support)
- Help maintain accurate records for events, rentals, and organizational activities
General Support:
- Assist with day-to-day operations of the museum and historic properties
- Support fundraising, membership, and community engagement efforts as needed
- Represent RCHS in a professional and welcoming manner to visitors and partners
Qualifications:
- Strong organizational and time management skills
- Excellent communication and customer service abilities
- Ability to manage multiple priorities and work independently
- Comfortable working occasional evenings and weekends
- Experience in events, hospitality, nonprofit operations, or administration preferred
- Basic proficiency with Microsoft Office and/or scheduling tools
Schedule & Compensation:
- Full-time position
- Flexible scheduling based on events and operational needs
- Some evenings and weekends required
Salary Range:
- $45,000 – $58,000 annually, depending on experience and qualifications

Pay: $45,000.00 - $58,000.00 per year
