We are seeking a dynamic and highly organized Office Administrator to join our team! Responsibilities
- Serve as the first point of contact at the front desk, greeting visitors and managing multi-line phone systems with professionalism and courtesy
- Handle incoming calls, direct inquiries appropriately, and maintain excellent phone etiquette
- Manage calendar scheduling, appointment setting, and coordinate meetings for staff and management
- Perform data entry, filing, and document proofreading to ensure accuracy and organization of records
- Utilize computer skills including Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace to prepare reports, correspondence, and presentations
- Oversee office management tasks such as supply inventory, mail distribution, and maintaining cleanliness of common areas
- Provide customer support by addressing inquiries promptly and efficiently while maintaining a positive attitude
Requirements
- Proven office experience with strong clerical skills and familiarity with office management procedures
- Proficiency in computer literacy including Microsoft Office Suite, Google Workspace, data entry, and basic bookkeeping (QuickBooks experience is a plus)
- Excellent organizational skills with the ability to prioritize tasks effectively in a fast-paced environment
- Strong typing skills with high accuracy; attention to detail for proofreading documents
- Exceptional phone etiquette and customer service skills; bilingual abilities are highly desirable for effective communication with diverse clients
- Experience with multi-line phone systems, calendar management, filing systems, and general administrative support functions
- Previous experience as a receptionist or personal assistant is advantageous; knowledge of medical or dental receptionist duties is a bonus
- Ability to manage time efficiently while handling multiple responsibilities simultaneously
