Job Title: Assistant to Executive (Part-Time)

About the Role
We’re looking for a proactive, highly organized Assistant to Executive to join our team in a part-time, on-site capacity. This unique role blends executive support with front office coordination, light personal assistance, and occasional social media collaboration. You’ll be at the heart of our day-to-day operations — greeting guests, managing logistics, supporting our founder, and helping the broader team thrive. Key Responsibilities
Front Office & Administrative Management
- Greet visitors warmly and professionally
- Manage phones, deliveries, and general inquiries
- Coordinate meetings, including setup, catering, and tech
- Order and organize office supplies
- Maintain cleanliness and function of the front desk and break room
- Liaise with vendors and building services
Executive & Personal Assistance
- Manage executive inbox and calendar
- Schedule meetings, travel, and appointments
- Reconcile business expenses and receipts
- Run occasional personal errands (e.g., gifts, home service scheduling)
- Anticipate needs and plan proactively
Social Media & External Relations Support
- Collaborate on LinkedIn content and posts
- Support community involvement and partnership logistics
- Help coordinate speaking engagements and events.
Travel Coordination
- Create full itineraries for upcoming travel
- Book hotel, plane, and car reservations
Qualifications
- Prior experience in administrative, executive assistant, or front office roles
- Exceptional organization and multitasking skills
- Friendly, poised communicator (written and verbal)
- Strong Microsoft Office skills (Outlook, Word, Excel); LinkedIn fluency a plus
- Discretion in handling sensitive and confidential matters
- Problem-solver with a self-starter mentality
- Experience with facilities coordination or event support is a bonus
