Ghidorzi Companies is a design build construction, real estate development, property management and hospitality firm based in Wausau, WI with a passion for building community through sustainable buildings that stand the test of time. We are seeking an Accounting & Human Resources Coordinator who reports to the Senior Accountant and is a key member of the team. The Accounting & HR Coordinator will have primary responsibility for accounts payable, payroll support and oversees daily HR administration while also assisting with general accounting, project and construction accounting, billing and employee administration.
Status: Full-Time, Non-Exempt (eligible for overtime)
Reports To: Senior Accountant
Responsibilities:
- Utilizing SAGE 300 CRE, process accounts payable, which includes entering invoices, checking for proper coding, preparing reports, printing checks, matching invoices to checks, preparing documents for mailing and maintaining all related files.
- Process company billing and invoices, which includes statement preparation
- Track costs of new and existing projects including the creation of AIA documents for billing to job owners, posting billing invoices, tracking payments of AIA documents and tracking balances after invoice completion.
- Communicate with vendors regarding payment status/open invoices.
- Maintain the vendor database, including vendor and subcontractor insurance information and W9 forms, communicating directly with vendors and subcontractors as needed.
- Prepare 1099s and 1096s, providing them to recipients and state and federal government in accordance with established deadlines.
- Close month and year end information in Sage system.
- Process employee expense reimbursements and maintain reports.
- Analyze, prepare and input payroll related data needed to process and meet payroll deadlines while adhering with applicable state and federal wage and hour laws.
- Assist in maintaining employee records in HRMS program.
- Supports managers in the hiring process, including job board postings, candidate screening and interview coordination.
- Coordinate new hire paperwork, background checks, employee setup and onboarding.
- Other duties as needed.
Qualifications:
- Associate degree in Accounting, Human Resources, Business Administration, or a related field preferred.
- Minimum 3-5 years of accounting experience, including accounts payable, payroll, accounts receivable, and/or general accounting preferred.
- Construction accounting and/or Sage 300 CRE experience preferred.
- Experience with payroll and HR administration is a plus.
- Strong attention to detail and excellent organizational skills.
- Ability to manage multiple priorities and meet deadlines in a fast-paced environment.
- Strong communication and problem-solving skills.
- Ability to work independently while collaborating effectively with managers, employees, vendors, and team members.
- Proficiency with accounting systems, Microsoft Excel, and other business technology.
- Ability to maintain confidentiality when handling financial, payroll, and employee information.

Pay: $26.00 - $32.00 per hour
