Responsibilities
- Manage day-to-day office operations, including front desk duties, filing systems, and multi-line phone systems to ensure seamless communication.
- Coordinate and schedule meetings, appointments, and events while managing calendars for multiple team members.
- Supervise administrative staff and provide training and development to foster a motivated and efficient team.
- Oversee vendor management by negotiating contracts, processing invoices, and maintaining strong professional relationships with suppliers.
- Handle bookkeeping tasks such as payroll processing, budgeting, financial recordkeeping, and using accounting software like QuickBooks or other financial software tools.
- Support human resources functions including onboarding new employees, maintaining confidential personnel files, and assisting with employee relations.
- Maintain accurate records through filing systems, spreadsheets, and data entry to support office efficiency and compliance with confidentiality standards.
Skills
- Proven experience in office management or administrative roles with strong clerical skills.
- Demonstrated supervisory experience with the ability to lead and motivate a team effectively.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) along with advanced spreadsheet skills for budgeting and data analysis.
- Familiarity with accounting software such as QuickBooks or similar financial tools; experience with bookkeeping and financial reporting is highly desirable.
- Excellent communication skills—both verbal and written—with the ability to handle client interactions professionally via phone or email.
- Strong organizational skills with the ability to manage multiple priorities efficiently in a fast-paced environment.
- Experience in event planning and coordinating logistics for meetings or company functions.
- Knowledge of human resources processes including payroll management, employee onboarding, and confidentiality handling.
- Technical proficiency in managing office equipment such as multi-line phones, printers, and other office technology.
