The Human Resources Assistant/Coordinator provides administrative and technical support to the Human Resources Department in all areas of personnel management. This position assists with recruiting, onboarding, benefits, employee relations, compliance, and recordkeeping. The HR Assistant/Coordinator ensures the organization’s HR operations are efficient, accurate, and compliant with California and federal employment laws.
1. Post and manage job advertisements on internal and external job boards.
2. Review applications, screen candidates, schedule interviews, and assist in reference checks.
3. Prepare offer letters and onboarding documentation.
4. Conduct new-hire orientation and review of employee handbook, policies, and benefits.
5. Ensure completion of I-9, W-4, direct deposit, and other new-hire forms.
6. File and report new hires to the California Employment Development Department (EDD).
7. Maintain accurate and confidential personnel files (electronic and paper).
8. Enter and update employee data in the Human Resources Information System (HRIS).
9. Process employee changes (status, pay rate, benefits, department, etc.).
10. Maintain compliance with document retention policies and data privacy requirements.
11. Assist with benefit enrollment, changes, and terminations.
12. Help employees with benefits questions and claims resolution.
13. Support open enrollment coordination and communication.
14. Track eligibility for benefits and assist in COBRA administration.
15. Administer and track leaves under FMLA, CFRA, PDL, ADA, and other protected leaves.
16. Prepare required notices and documentation; coordinate return-to-work procedures.
17. Monitor compliance with federal, state, and local wage-and-hour laws (meal/rest periods, overtime, final pay, etc.).
18. Assist with workers’ compensation claim processing, communication with carrier, and incident reporting.
19. Maintain compliance with Cal/OSHA injury and illness reporting requirements.
20. Respond to employment verifications, unemployment claims, and EDD inquiries.
21. Assist HR management with employee relations issues and investigations.
22. Help track performance evaluations and training completion.
23. Coordinate recognition programs, engagement activities, and safety meetings.
24. Schedule and document disciplinary meetings as directed by HR management.
25. Support the development, implementation, and communication of personnel policies and procedures.
26. Assist with updates to the employee handbook and HR forms.
27. Generate HR reports including turnover, headcount, time-off balances, and compliance audits.
28. Participate in safety, compliance, and HR training initiatives.
29. Maintain company organization charts and employee directories.
30. Prepare correspondence, forms, and reports.
31. Respond to employee inquiries regarding HR policies, benefits, and payroll matters.
32. Maintain confidentiality at all times and handle sensitive information appropriately.
33. Perform other related duties as assigned to ensure smooth HR department operations.
1. Associate’s or Bachelor’s degree in Human Resources, Business Administration, or related field preferred.
2. 1–2 years of HR or administrative experience required; HR certification (PHR-CA, SHRM-CP) a plus.
3. Working knowledge of California employment laws and regulations (FLSA, CFRA, FEHA, Wage Orders, Cal/OSHA).
4. Strong organizational and multitasking skills with attention to detail.
5. Excellent communication and interpersonal skills.
6. Proficiency with Microsoft Office (Word, Excel, Outlook, PowerPoint) and HRIS systems.
7. Ability to maintain discretion and confidentiality.
Professional office environment with frequent use of computers, phones, and standard office equipment. May occasionally lift or move files up to 20 pounds.
Position Type/Expected Hours of Work
Full-time, Monday through Friday, 8:30 a.m. to 5:00 p.m. Occasional overtime or weekend work may be required as business needs dictate.
Minimal travel required; may include attendance at training, recruiting events, or meetings within California.
