Job Summary
We are seeking a highly organized and detail-oriented Administrative Assistant to support our office operations. The ideal candidate will possess strong office management skills, excellent communication abilities, and proficiency with various computer applications. This role involves providing exceptional customer service, managing administrative tasks, and ensuring the smooth functioning of daily office activities. Experience with Thomson Reuters programs, Microsoft Office, Google Workspace, and multi-line phone systems is highly desirable. Bilingual skills are a plus to effectively serve diverse clients and team members.
Responsibilities
- Manage front desk operations, including greeting visitors and handling inquiries with professional phone etiquette
- Answer and direct calls using multi-line phone systems, ensuring prompt and courteous customer support
- Perform data entry, filing, and document proofreading to maintain accurate records
- Schedule appointments, manage calendars, and coordinate meetings using Microsoft Office and Google Workspace tools
- Assist with office management tasks such as organizing supplies, maintaining files, and supporting administrative projects
- Support customer service efforts by providing timely responses to client requests and inquiries
- Assists with e-filing activities by acting as a backup to the primary e-filer and handle income tax return submissions when necessary.
- Perform general clerical duties including typing correspondence, managing incoming mail, and supporting personal assistant functions when required
- Ensure office organization aligns with company policies and procedures for efficiency
Qualifications
- Proven experience in office administration or clerical roles; prior experience as a receptionist or personal assistant is advantageous
- Strong computer literacy with proficiency in Microsoft Office Suite (Word, Excel, Outlook), Google Workspace, and data entry skills
- Familiarity with Thomson Reuters software programs is preferred
- Excellent organizational skills with the ability to multitask effectively in a fast-paced environment
- Exceptional communication skills both written and verbal; bilingual ability is a plus
- Demonstrated ability to handle multi-line phone systems and provide outstanding customer service
- Attention to detail in proofreading and document management tasks
- Ability to manage time efficiently and prioritize responsibilities appropriately
