Overview
Partners Dental Solutions is seeking a highly capable Executive Administrative Assistant to support the CEO and help drive organizational effectiveness across the business. This role is responsible for managing priorities, coordinating communication, organizing executive activities, and ensuring important initiatives continue moving forward.
The ideal candidate is proactive, highly organized, detail-oriented, and capable of anticipating needs before they arise. Success in this role requires professionalism, discretion, strong judgment, and the ability to manage multiple competing priorities in a fast-paced environment.
The Executive Administrative Assistant serves as the operational backbone of the CEO's office, ensuring priorities are organized, commitments are tracked to completion, communication flows effectively, and the CEO’s time remains focused on the highest-value activities for the business.

Key Responsibilities
Executive Calendar & Priority Management
- Own and manage a complex executive calendar with changing priorities
- Ensure executive time is aligned with the highest-value business activities
- Screen incoming meeting requests and determine appropriate routing or delegation
- Build structure around executive schedules, travel, meetings, and commitments
- Anticipate conflicts and proactively recommend solutions
- Create daily and weekly executive priority plans
Leadership & Meeting Coordination
- Coordinate leadership meetings, one-on-ones, and company-wide meetings
- Prepare agendas and supporting materials in advance
- Document decisions, action items, and ownership assignments
- Monitor completion of action items and provide status updates
- Ensure meetings are productive, organized, and focused on outcomes
Vendor & Multi-Business Operations Management
- Serve as primary point of contact for executive-level vendors and service providers
- Manage contracts, renewals, and administrative agreements
- Monitor vendor performance and ensure timely completion of deliverables
- Maintain organized records of agreements and key business documentation
Financial & Operational Oversight
- Manage and reconcile executive expenses and corporate credit card activity
- Monitor recurring services, subscriptions, and executive-level operational costs
- Assist with data gathering and reporting to support leadership decision-making
Project & Initiative Support
- Assist with high-priority strategic initiatives, research, and data analysis
- Build systems and processes that increase organizational efficiency
- Track critical projects and ensure deadlines are met
- Identify potential operational gaps and propose thoughtful solutions
Accountability & Follow-Through
- Track commitments, decisions, and action items made by executive leadership
- Follow up with leaders to ensure deadlines and deliverables are completed
- Maintain visibility of key business initiatives and status updates
- Identify risks, bottlenecks, or missed commitments and escalate when appropriate
- Ensure important projects continue moving forward between meetings
Executive Travel & Event Coordination
- Coordinate domestic and international travel arrangements
- Build detailed travel itineraries and contingency plans
- Manage accommodations, transportation, and logistics
- Coordinate executive attendance at conferences, meetings, and industry events
Confidential Executive Support
- Handle highly sensitive business and personal matters with discretion
- Support personal scheduling and coordination as needed
- Serve as a trusted and reliable extension of executive leadership
Qualifications
- 5+ years of executive-level support experience, preferably supporting C-suite leadership
- Strong business acumen and comfort operating in high-level decision environments
- Experience managing vendors, contracts, and external partners
- Excellent written and verbal communication skills
- Exceptional organizational and prioritization abilities
- High emotional intelligence and professional maturity
- Advanced proficiency in Microsoft Office and Google Workspace
- Demonstrated ability to anticipate needs and operate independently
- Calm, solutions-oriented mindset in fast-paced or high-pressure situations
