A national event and hospitality services company is hiring an Event Operations Manager in San Jose, CA to oversee the full event lifecycle — from budget projections and site selection to vendor contracting, food and beverage coordination, and client delivery. As Event Operations Manager, you'll work closely with our Regional Director of Operations and regional admin team. You'll develop vendor relationships, manage day-to-day event operations, own all event accounting, and continually prospect new clients and vendors to grow the business. This is a high-impact, high-visibility seat for someone who thrives in a fast-paced, hospitality-driven environment.

Paid Time Off & Wellness:

What You'll Own:
- Own the full event lifecycle: budgets, site selection, vendor contracting, F&B planning, run of show, and expense tracking across corporate events, conferences, and tradeshows
- Serve as the primary point of contact for clients and vendors on your accounts, building strong working relationships
- Manage vendor relations end to end: selection, negotiation, contracts, and conflict resolution
- Create and maintain Triple Seat and one-off event agreements, and ensure all contracts are signed
- Handle all event accounting: invoicing, accounts payable, and payment reconciliation
- Run on-site setup and breakdown when required
- Maintain compliance with all federal, state, and local food safety and health standards
- Prospect new vendors and clients across the South Bay to stay ahead of demand
- Collect and maintain vendor documents and permits, and ensure everyone is set up correctly in AR/AP (with regional admin support)
- Keep the Regional Director of Operations updated on accounts, and help refine company processes
Accounting Duties:
- Build and maintain Excel trackers for sales, site fees, commissions, and program financials
- Issue invoices and secure client/vendor sign-off
- Collect site fees and process vendor payouts through our software platform
- Perform reconciliations, track monthly income, and respond to vendor and employee inquiries
Requirements:
- 2+ years in food, catering, or hospitality management (food truck experience a strong plus)
- Strong Excel skills for formulas, trackers, and financial records; solid across the rest of Microsoft Office
- Excellent written and verbal communication with stakeholders at every level
- Highly organized and detail-oriented, with strong data entry accuracy
- High energy, composed under pressure, and dependable as a self-starter
- Available evenings, weekends, and holidays as the event calendar requires
- Valid driver's license and clean driving record
- Based in the San Jose area.
- Authorization to work in the U.S.
