Title: Administrative Assistant
Reports to: Vice President, Patient Care Services & Chief Nursing Officer
Shift: 5x8 Days, 8:00AM -4:30PM (flexible on start/end time)
CONTRACT LENGTH: 13 WKS
START DATE: ASAP (URGENT)
This manager is looking for someone with a few years of Admin Assistant experience; Project management experience is a plus!
This candidate will interact with staff, answer phone calls, respond to emails, schedule meetings and have effective communication skills.
This candidate will directly report to VP, in addition to working with a larger team, including Internal stakeholders.
Will arrange meetings, prepare materials, and ensure the executive's time in meetings is productive and organized.
Candidate will need to be comfortable working in a collaborative and team environment.
Must be “cool under pressure” and professional in the work environment.
REQUIRED EXPERIENCE/QUALIFICATIONS
- Minimum Education: Associate Degree preferred
- Technical Requirements: Intermediate Word, Excel and Outlook skills, Min. 45 wpm keyboarding/typing speed
- Years of Experience: 1-3 yrs. Related work experience
- Previous experience in a medical office, hospital, or healthcare related setting - HIGHLY PREFERED

- Experience with Invoice tracking
- Experience with Calendar Management (large part of responsibilities)

JOB PURPOSE
To provide administrative support and develop workflow processes and systems for a department and high level Vice President.
Role to include answering phones, scheduling meetings, taking minutes, ensuring adequate office supply inventory, assisting with department timekeeping, and submitting orders/invoices, etc.
DUTIES/RESPONSIBILITIES
- Composes correspondence without draft contents.
- Coordinates travel arrangements and other duties or projects as needed.
- Enters data into a database, provides summary reports, and adds fields as necessary.
- Schedule meetings and appointments. Transcribes minutes of meetings.
- Answers, screens, and initiates phone calls rerouting inquiries for department.
- Coordinates gathering of input, documents, etc. from single sources for reports and
- presentations.
- Serves as liaison for the VP
Pay: $30.00 - $37.00 per hour
